Investment Operations Manager
Meketa Investment Group is a growing, independent investment consulting firm providing strategic investment advice to large institutional clients. The Investment Operations Manager role will involve the balancing of long-term strategic planning related to operational improvement and technology with day-to-day management of operations across our Private Market, OCIO, and General Consulting clients involved in trade execution and reporting as well as internal retail funds. The Investment Operations Manager will be responsible for leading a staff of Investment Operations Associates, Analysts, and Coordinators. This exempt-level position will report directly to the company’s Co-CEOs. This person must demonstrate independent judgment and discretion related to sensitive and confidential information.
Position Summary:
The Investment Operations Manager is tasked with helping to supervise trade execution, document storage, and monitoring of investments for non-discretionary and discretionary clients across all client bases including Private Market, OCIO, and General Consulting clients involved in trade execution and reporting as well as internal retail funds. The candidate will help to both develop and achieve department goals and establish levels of standard for professionalism.
Transfer activity includes data collection and monitoring, cash flow issue resolution, approval of letters of direction, and implementation of internal directives and updates to both new and existing client portfolios. Document storage and data integrity activity includes ensuring the technology used to ingest and record the accuracy of data related to both liquid and illiquid vehicles is maintained at a high level and available in real-time.
The Investment Operations Manager will guide Investment Operations Associates, Analysts, and Coordinators through our most complicated client relationships, serving as an advisor to the Client Teams and Senior Operations. They will be expected to show leadership on day-to-day matters of importance. They will oversee our critical third-party relationships at Managers, Custodians, Fund Administrators, and technology connected to the Operations team.
Success in this position will be measured by creating efficient, accurate workflows that are well documented and followed internally. The Investment Operations Manager will aim to mitigate risk associated with trade execution and document storage, helping to develop the goals for the Investment Operations department in addition to training staff in standard processes. They will need to use their own analysis and judgment where applicable and communicate best practices and change to industry standards across the firm.
Responsibilities:
  • Independently organize trade execution and implementation of changes to client portfolios, from start to finish, including: approving trade directives, aiding in on-boarding and internal directives, and collaborating closely with Legal operations as needed for subscription documents.
  • Provide information surrounding cash flows on an ad-hoc basis.
  • Coordinate trading execution activity based on notices from Managers invested in by Clients, or internal directives and decisions.
  • Connect with investment managers, custodians, and fund administration as needed.
  • Ensure documentation for each client including approvals, subscription/redemption documents, directives, confirmations, and other transaction related activity.
  • Establish and uphold trade execution policies related to Private Market, OCIO, and General Consulting clients involved in trade execution and reporting as well as internal retail funds.
Position Requirements:
  • Bachelor’s Degree with evidence of strong academic achievement. MBA or CPA a plus.
  • 10 years of professional experience.
  • Ability to manage a team and establish department goals and metrics for success.
  • Strong understanding of Operations and process driven tasks.
  • Ability to gather, organize, and analyze data from disparate sources.
  • Superb digital literacy, including facility with Microsoft Office Suite.
  • Skill at analyzing, evaluating, and reviewing quantitative information
  • Excellent attention to detail and organized work habits.
  • Ability to work efficiently and accurately under time pressure.
  • Ability to work well with internal employees and external contacts.
  • Ability to work independently and to proactively seek new responsibilities.
  • Operational experience at an asset manager, custodian bank, or other financial services organization.
Measures of Success:
  • Help develop and achieve department-wide goals to increase the accuracy, efficiency, and risk reduction related to trade execution and document storage.
  • Contribute to improvements in the efficiency of the company’s data-oriented and trade execution processes and procedures.
  • Evaluate internal proprietary software and create efficiencies through technology where available.
  • Interact effectively with external data suppliers (custody banks, investment managers).
  • Maintain good working relationships with other employees, helping to develop junior resources and establish standard processes within Operations and Private Market Fund Accounting.
