Summary Description:
Music Librarian duties include the purchase, rental, and preparation of scores and parts for all performances. Works with the Music Director in selecting performing editions and in marking bowing, cuts, or other editing, then distributes parts to musicians. Maintains library of music holdings, records repertoire performance data, and assesses long-range acquisition needs.
Essential Job Functions:
1. Coordinate the preparation of music for rehearsals and performances. Responsibilities include but are not limited to; preparing a set of parts with master score and principal string bowings; adding cuts, edits, and inserts; adding bar numbers or rehearsal numbers; repairing deteriorating parts/scores; ensuring that music is available to musicians as stipulated in collective bargaining agreement (includes coordinating with MSO Chorus Librarian when chorus needs music); assemble and prepare orchestra folders for concert programs including program/cue sheets; and provide copies of string parts for inside players.
2. Attending rehearsals and performances to ensure that musicians and conductors have necessary parts and scores, and collect music after rehearsals and performances.
3. Order all music, both purchased and rented. Verify accurate content and condition of music received concerning the score and packing lists.
4. Work with the Personnel Manager to determine the instrumentation/number of musicians needed for each program.
5. Provide accurate repertoire and instrumentation reports using OPAS.
6. Ensure that permission is requested for arrangements/adaptations.
7. Disassemble folders and promptly return rental music.
8. Communicate with conductors/guest artists regarding editions, etc.
9. Maintain memberships and subscriptions necessary for performing library duties (MOLA, Daniels-Orchestral Online, IMSLP, OPAS, etc.).
10. Prepare and submit quarterly ASCAP and BMI repertoire reports.
11. Prepare a budget of library expenses.
12. Enter program information in OPAS; generate program sheets; communicate program information to stage personnel and program/website production team.
13. Curate the orchestra’s music library, cataloging acquisitions, managing loan requests, and maintaining an orderly collection.
14. Maintain confidentiality concerning artistic planning.
Job Qualifications:
· Experience:
o Degree in music or equivalent knowledge
o Three years or more working with a professional orchestra
o Experience with music notation software or facility with hand manuscript notation
· Skills:
o Proficient software skills, including Google Suite and Microsoft Office, prior use of OPAS database is preferred
o Read, edit, and proofread music fluently
o Work well independently, to take initiative, and to be part of a team
o Manage multiple deadlines and projects simultaneously with careful attention to detail
o Resourceful problem-solving skills
o Ability to lift at least 30 lbs.
