Requirements:
  • General Office Duties to include:
    • Rile Retention
    • Filing, Shredding, maintaining charts per program requirements to include chart room management
  • Provide array of switchboard operator services that includes routing all incoming calls to appropriate staff, answering general questions about the agency, and taking messages.
    • Ensure adequate telephone system operations and obtain necessary repair services. Train any assigned staff in switchboard operations. Ensure coverage of switchboard.
    • Maintain office reception area and provide reception services for incoming visitors and clients.
    • Facilitate positive interactions with colleagues and consumers by demonstrating respectful and hospitable interactions in person and over the telephone.
    • Maintain an accurate phone list to efficiently route consumer and other calls to appropriate service staff.
    • Type, file, copy, fax, scan, and perform a variety of other clerical and typing functions as requested by immediate supervisor.
    • Assist in ordering all needed supplies and forms.
    • Participate in departmental staff meetings, individual meetings with supervisor, and annual trainings as required.
    • Perform job duties exercising initiative and independent judgment, seeking advice and assistance with unusual/difficult cases and/or circumstances.
    • Take on additional tasks/responsibilities as they occur without jeopardizing completing assigned tasks; develop new techniques/procedures to improve service delivery and/or job tasks.
    • Understand the relationship between agency and organization as a whole. Demonstrate an awareness of agency mission, organizational goals, values, policies and procedures. Work effectively across departmental boundaries.
