SUMMARY

The Operations Administrative Assistant responsibilities include: provide administrative support to the operations department to include assisting with inbound and outbound rentals; schedule and prioritize equipment repairs and maintenance; prepare work orders, billing, and reports; work closely with parts staff to ensure technicians have required parts; and provide administrative support to the Service department.

Requirements:

Job Duties

  • Prepare daily reports in support of the operations department
  • Provide equipment information (e.g., equipment numbers, current hours, equipment status) to managers for equipment rentals.
  • Create, close, and update work orders for repairs, modifications, PMs, and inspections.
  • Maintain digital files of work orders by equipment type and date for reference purposes.
  • Populate site equipment inventory and update as needed.
  • Assist with inputs for damage billing, preventative maintenance parts, and PM service dates in the FMP.
  • Update billing in the FMP and communicate those updates to accounting.
  • Schedule inbound repairs and returns of equipment.
  • Assist the breakdown team and technical lead with administrative support, reporting, billing, and communication with customers and vendors.
  • Assist Parts Manager with inventory accuracy, parts ordering, receiving, and billing processes.
  • Provide administrative support to the Director of Operations.
  • Follows safety protocol and maintain a clean and organized work area.
  • Performs other related duties as assigned or requested. Mercury GSE reserves the right to add or change duties at any time.

Education and Experience

  • High School diploma or equivalent
  • At least 3 years experience providing clerical support in heavy equipment, aviation or related industry
  • Strong communication and organizational skills
  • Proficient with Microsoft Office 365
  • Effectively and accurately perform several tasks at once
  • Possess a strong work ethic and willing to contribute to a positive and teamwork-oriented work culture.
