Metal Finishing Technologies is Hiring an Office Administrator (Manufacturing/Production) Near Bristol, CT

A successful Office Administrator should have a strong understanding of accounting principles. This candidate should also work with the Operations team and support business functions to ensure critical supplies are delivered timely and meet business needs. This person will have a keen sense of business, high level of detail, and maintains meticulous transaction records. This candidate will be responsible for owning the relationship as a key point of contact with our vendors and help identify opportunities where appropriate for cost savings. This role will have both outward facing (vendors/suppliers) and inward facing responsibilities and will report to the Finance Manager.

Minimum Qualifications

· Associates degree in accounting or business-related field or Bachelor’s degree preferred. Will also consider length of experience in lieu of educational requirements.

· 3-5 years accounting experience preferred

· High proficiency with Microsoft Office (Word, Excel, PowerPoint)

· Attentive to detail and high level of accuracy

· Good analytical and problem-solving skills

· Manufacturing/Industrial experience preferred

· Excellent leadership and interpersonal skills

· Experience interfacing with external customers

Essential Duties and Responsibilities

· Manage relationships with key vendors and administer quote process to ensure competitiveness

· Utilize an effective and accurate system for monitoring purchase orders

· Deliver an effective summary of purchase order status and prioritization aligning with business needs

· Working within the management team to ensure that all deliveries satisfy the assigned orders and report any back-ordered or missing products

· Assisting the team with monitoring and maintaining inventory levels and materials on a regular basis

· Effectively communicating with the management team to ensure all orders are accurate and escalate where needed

· Participate with identifying and implementing cost reduction initiatives associated with purchasing function.

· Support Production Control Department with order management and communication

· Perform various tasks to assist the Controller, including but limited to: month-end reconciliations, reports, year-end reviews/audits, and financial analysis.

· Manage Accounts Payable function

· Resolve issues with past due invoices and billing.

· Set up and maintain customer accounts-new and existing

· Perform miscellaneous administrative and clerical support

· Comply with all internal, federal, and state laws and procedures in the processing and administration of purchase orders

· Serve as backup to Accounts Receivable

· Resolves problems related to purchasing, delivery, receiving and payment to the supplier; determines the source of the problem and then takes appropriate corrective action

· Point person for office maintenance, mailing, shipping, supplies, equipment, bills, and errands

· Assist with special projects

· Other duties as assigned

Job Type: Full-time

Pay: $28.00 - $34.00 per hour
