Job Summary and Qualifications

The Administrative Assistant provides administrative and clerical support to Directors of the organization and their management teams.

Essential Job Functions:

  • Greets visitors and callers, answers their inquiries, and directs them to the appropriate persons according to their needs.
  • Prepares routine correspondence, memos, minutes of meetings, routine reports and other materials or documents using word processing, spreadsheet, or presentation software.
  • Makes arrangements and prepares agendas for committee and other meetings. Ensures appropriate meeting notification and timely provision of follow-up actions.
  • Manages and maintains director’s schedule, makes travel arrangements.
  • Performs general office duties such as ordering supplies, duplication, and distribution of documents.
  • Organizes and maintains paper and electronic filing systems for records, correspondence and other materials.

Additional Job Functions:

  • Serves as a key point of contact with outside vendors and agencies and represents MHS effectively when dealing with customers.
  • Supports the mission and vision of the Methodist Healthcare System and demonstrates excellent customer service at all times.
  • Understands and is committed to helping the Methodist Healthcare System and its associated facilities achieve its goals.
  • Must learn and comply with System and facility safety policies and rules; must use appropriate safety equipment and procedures at all times; must immediately report all unsafe conditions to supervisors; must be familiar with all safety features of equipment, tools or materials encompassed by job duties; and must check with supervisors (prior to job performance) if there is a question as to the safe procedure to be used for any job function. Required Knowledge, Skill, Abilities and Other Job-Related Characteristics (KSAOs) Minimum Education and Experience:
