Description

The Administrative Clinical Coordinator will assist the Faculty Clinical Coordinator with the administrative aspects of the clinical year for the Physican Assistant Program.

Responsibilities include:

  • Assist the Faculty Clinical Coordinator in preparation of End of Rotation (EOR) schedule/activities
  • Provide preceptor and affiliation support to include onboarding new preceptors and clinical sites
  • Maintain communication and records with established preceptor and site affiliations
  • Purchasing and assigning EOR examinations
  • Assist with accreditation preparation by ensuring all clinical site information is updated and accurate in the ARC-PA online portal as assigned
  • Assist the Faculty Clinical Coordinator with recruitment of new clinical sites and preceptors
  • Manage the collection, maintenance and organization of accreditation required documentation for preceptors to include board certification, CV, and state license documentation
  • Manage the collection, maintenance and organization of clinical site information as required for accreditation to include clinical site profile, affiliation agreement and annual clinical site visit forms
  • Maintain security of all clinical rotation examination and evaluations.
  • Assist in the development, logistical requirements, coordination and timeline for the seamless transition of didactic year students to the clinical year students to ensure they are fully prepared to start their clinical year.
  • verify and support course registration for clinical year students
  • Maintain clinical database used to manage student rotations for all students in their clinical year to include scheduling, credentialing, and contact information for students and preceptors
  • Update and troubleshoot the clinical database as needed
  • Schedule all clinical rotations to include notification of sites and students and completion of all necessary credentialing required by clinical sites and supported hospitals with input from the Faculty Clinical Coordinator
  • Notify students and preceptors of all administrative requirements that are necessary to provide proper evaluation of the students, preceptors, clinical sites, and the program.
  • Coordinate with clinical site’s Human Resource Departments and Clinical Education Departments to ensure proper credentialing requirements are determined, coordinated, and completed in a timely manner by clinical students for their clinical rotations
  • Submit requisitions for payment of preceptor stipends.
  • Submit requisitions for large budget items for payment (EVMS, ARC-PA dues, PAEA dues, Rosh Review, and board review course) as assigned
  • At the direction of the Program Director, represent the Program at events and meetings
  • Perform other administrative responsibilities as directed by the Faculty Clinical Coordinator
  • Assist with preparation for special events and other departmental duties as assigned

Qualifications


Education/Experience:

Bachelor’s Degree from a regionally accredited institution is required.

Experience in a Health Professions educational program preferred.

Skills:

Must have skills in computer usage and programs such as MS Office, Word, and Excel. Experience with statistical software such as SPSS is desired.

Ability to understand and follow the university’s policies, procedures, rules and regulations.

Possess strong interpersonal skills for use in face-to-face, written and telephone contact. Able to communicate proactively and professionally within a collaborative team of staff/faculty, and outside agencies.

Ability to work with multiple deadlines and multiple projects simultaneously. Efficient and detailed oriented.

Knowledge and ability to organize and establish work priorities in all situations and to meet deadlines with minimum supervision.

Self-motivated with exceptional ethics and outstanding attention to detail.
