Job Functions: The Accounts Payable Specialist will be responsible for all accounts payable functions within the organization.

Essential Responsibilities:

1. This position is responsible for accurately preparing, processing, and maintaining the accounts payable activities of the organization. 
2. Provides management with monthly vendor invoice report for KPI analysis and reporting.
3. Review the AP Aging report each month with the Assistant Controller. Reconcile and address any discrepancies.
4. Review invoices for accurate coding per approved budget.
5. Work with Procurement to resolve issues associated with processing invoices.
6. Verify that invoices are accurate by mathematically checking the invoice for accuracy and matching the invoice to the purchase order.
7. Ensure that invoices are paid in a timely manner. 
8. Verify that all check numbers are properly accounted for and that unused checks are properly secured.
9. Determine that all recurring invoices have been received in a timely manner each month for a smooth month-end closing process.
10. Maintain vendor records, obtaining needed documentation (W-9, W-8 contact information, change of address, etc.) and submit changes to be made in the accounting system, as necessary.
11. Ensures company policies and procedures are being adhered to as they pertain to accounts payable.
12. Contributes ideas for process-improvement
13. Serve as backup support for Accounts Payable Clerk.
14. Support the Holiday Center Operation as directed.
15. Support the team in other tasks as assigned. Meets personal goals and actively contributes to the achievement of team and organizational targets/goals.

Requirements

Education and Experience:  

A high school diploma or equivalent is required. Associate degree in Business or Finance a plus. 1-3 years of Accounts Payable processing experience preferred. Must be detailed oriented. Experience processing Accounts Payable in a high-volume, fast-paced environment is preferred but will train the right candidate.

Must be able to work within a multi-disciplinary team framework; dependability; demonstrates maturity and sensitivity to issues of faith, culture, and other sources of diversity’; confidentiality of customer information; ability to handle job related matters in a professional and diplomatic manner.

Requires heart for ministry and comfort working with poor and homeless families and individuals. Requires understanding of poverty, a high degree of maturity, strong inter-personal skills, and the ability to work with low socio-economic and diverse populations facing crisis situations in a professional and diplomatic manner. Knowledge of community resources available to homeless population.

Physical Requirements:

Hearing and speaking ability which allows for effective oral communication of information; physical, emotional, and spiritual stamina to handle job-related issues and stress.
