Summary:
The Shared Services Coordinator supports the administration of the internal People Operations team with firm-wide programs, policies and initiatives. The Coordinator focuses heavily on benefits administration and compliance as well as performance management, diversity, equity, and inclusion (DEI) initiatives and rewards and recognition programs.
This role contributes to the accomplishment of Human Resources practices and objectives that will provide an employee-oriented, high-performance culture that emphasizes empowerment, quality, productivity and standards, goal attainment, and the recruitment and ongoing development of a superior organization.
Core Responsibilities:
Support the administration of the Shared Services team working on firm-wide policies and programs
Ensure compliance with all HR rules and regulations (HIPPA rules, EDD, EEOC, ACA, etc.)
Deliver a high level of customer service to internal teams
Essential Functions:Provide support to internal clients (HRBP teams and leadership) regarding firm processes, programs and polices
Assist in the administration of employee benefits programs including health, dental, vision, life, and other insurance plans
Coordinate annual benefits open enrollment process and provide support on benefit-related inquiries
Maintain accurate benefits records and ensure timely processing of enrollments, changes, and terminations
Process and pay monthly benefit invoices
Ensure compliance with federal, state, and local employment laws and regulations
Support the firm’s annual and semi-annual performance review process
Assist in the implementation and promotion of Diversity Equity and Inclusion (DEI) initiatives and programs, and provide support to Employee Community Groups
Collect and analyze data to measure the effectiveness of internal firm programs and suggest areas for improvement
Assist in the maintenance and support of systems utilized by the Shared Services Team (Quantum, Award Co, CompAnalyst, etc.)
Assist in the preparation and submission of compliance reports and documentation
Assist with special projects and other initiatives as assigned
Minimum Qualifications: Bachelor’s degree in human resources, Business Administration, or related field
1-2 years general HR experience (specifically benefits administration, compliance, and performance.)
Basic knowledge in HR competencies
Working knowledge of current HR laws and regulations
Excellent organizational skills and attention to detail
Proficiency in MS office applications (Word, Excel, PowerPoint)
Strong problem-solving and analytical skills
Ability to collaborate with team both in person and remotely
Ability to communicate effectively
Working knowledge of HR systems (ADP and Quantum preferred)
Success Factors:Ability to handle sensitive information and maintain confidentiality
Ability to perform several tasks concurrently with ease and professionalism
Ability to communicate clearly and concisely, verbally and in writing
Excellent interpersonal skills to interface with leadership and employees a like
