About The JobPinnacle Charter Schools, Nogales, Arizona, United States (On-site)We are searching for a supportive, enthusiastic individual to serve in our School Front Office. They will work at the front desk of our school in Nogales, where they perform a variety of tasks: taking phone calls, greeting visitors, keeping the reception area clean and organized, helping children with personal needs, receiving supply shipments, and handling correspondence. Strong communication skills, a professional and caring attitude, basic computer competencies, organizational skills, and customer service orientation are the most important qualifications.
Examples Of Duties & Responsibilities:
  • Welcomes on-site visitors including students, parents, and vendors, determines nature of visit and directs visitors accordingly.
  • Creates and maintains site files, prepares daily sign-in sheets, and coordinates & completes paperwork for enrollment and withdrawal processes ensuring accuracy and timeliness.
  • Responsible for assisting with enrollment processing, including enrolling new students, collecting necessary documents, and verifying residency and eligibility requirements.
  • Takes initiative to reach out to students, families, and the community to encourage new enrollments and student engagement.
  • Maintains a comprehensive file for all on-site students to help other departments address their needs – i.e., student services (course assignments), instructional intervention specialists (extra help requirements) – with the intention to help our students pass their courses and graduate.
  • Manages the reception area to ensure a welcoming and presentable environment for visitors, students, families, and staff.
  • Ensures effective communications – telephone, post, and email – both internally and externally to maintain a professional image.
  • Answers incoming telephone calls, determines purpose of calls and forwards calls to appropriate staff.
  • Supervises the maintenance and alteration of site areas and equipment, as well as layout, arrangement, and housekeeping of site facilities.
  • Holds responsibility for ensuring all services rendered to the site – such as cleaning and maintenance – are held to an acceptable standard on a consistent basis.
  • Ensures office equipment – i.e., copier, printer, etc. – is maintained properly and running effectively; and oversees the maintenance and repairs of all office equipment in a timely manner to avoid disruptions to operations.
  • Assists lead teacher and site staff with projects, events, and clerical tasks.
  • Supports site staff in maintaining discipline for students and ensuring all rules are properly adhered to.
  • Attends and participates in site events, educational and work-related meetings.
  • Maintains a professional demeanor when interacting with students, families, and community members.
  • Maintains confidentiality of all corporate, personnel and company business.
  • Coordinates overall administrative activities for the site office and participates as needed in special department projects.
  • Assists with other clerical and administrative duties not listed.
Desirable Qualifications:Education and Experience:
  • An associate’s degree or higher.
  • A minimum of two years of administrative experience.
  • Experience in working with young people.
Knowledge Of:
  • English usage, spelling, grammar and punctuation.
  • Current duties of office staff, and knowledge of office equipment and procedures.
  • Microsoft office tools, Google suite, and web-based applications.
  • The organization, functions and operation of schools and school districts.
Ability To:
  • Establish and maintain cooperative relationships with those contacted in the course of work.
  • Communicate well verbally and in writing; understand and carry out verbal and written instructions.
  • Illustrate excellent interpersonal skills, attention to detail, and communication.
  • Exercise considerable diplomacy and judgment on complex, confidential and controversial issues.
  • Be fair yet firm while interacting with students.
  • Be highly organized and self-motivated.
  • Multitask, have a high degree of flexibility, and be results oriented.
