Position SummaryCoordinates the day-to-day operations, whose primary function is the output of resources, goods and/or services to satisfy customer needs. Plans, organizes, directs, and controls all the activities of the operation within a unit or department and monitors and evaluates progress towards operational goals.
As part of MSU Extension (MSUE) and the Health and Nutrition Institute (HNI), this position will work with HNI leadership, program leads, and community partners to be the point of contact for all program incentive strategies. This will include collaborating with staff and partners to identify, coordinate, process, order, maintain and track appropriate program incentive strategies with accuracy (vouchers, coupons, gift cards, program reinforcement items, etc.).
In this role, you will ensure staff and business office compliance with incentive purchasing requirements. You will manage purchasing, shipment, and delivery of incentives that support educational programming and outreach. You will also plan and coordinate logistics for Health and Nutrition Institute specific meetings and events. Additionally, you will provide progress reports on incentive strategies as needed. Your ability to maintain collaborative relationships and effectively communicate with diverse staff, partners, and participants, and work independently to organize and perform duties with deadlines will be particularly important.
Although negotiable, there will be space available to work from the campus-based MSU Extension office.
This position may be eligible to utilize a flexible work environment, however, there is an expectation to work from a MSU Extension County office. The needs, responsibilities, and opportunities of an individual's position and office location drive the ability and amount of work-location flexibility.
This is a full-time, end-dated appointment, renewable annually based upon continued funding.
Characteristic Duties/Responsibilities
  • Assists leaders and program staff in the day-to-day coordination and management of operational activities that adhere to business office standards and rules.
  • Performs duties related to the unit of employment in order to facilitate the departments operations.
  • Forecasts needs and orders supplies in order to maintain inventory levels.
  • Coordinates budget, services, equipment and commodities within departmental policies and procedures including navigating bid processes, tax exempt stratus, and grant funding restrictions.
  • Collaborates with staff and partners to identify, coordinate, process, order, maintain, and track appropriate program incentive strategies with accuracy (vouchers, coupons, gift cards, program reinforcement items, etc.).
  • Negotiates procurement with contractors and suppliers.
  • Works closely with fiscal officers and institute and grant leadership teams.
  • Participates in various financial activities such as negotiating rates, managing expenses, providing estimates, and seeking revenue sources.
  • Identifies problems in operations processes and resolves them in a quick and timely manner.
  • Evaluates current operational performance and provides strategic plans for improvements.
  • Assists in developing and implementing policies and procedures.
  • Ensures compliance with departmental policies and procedures.
  • Monitors and manages departmental operations to meet customer expectations and company goals.
  • Serves as a liaison with clients, customers, vendors, and University departments in order to provide expertise in the area of employment by planning purchases, negotiating contracts and coordinating the budget.
  • Coordinates and develops training programs and materials
  • Maintains health and safety standards in order to ensure compliance with University, State, and Federal rules and regulations.
  • Prepares special and periodic financial or other reports and maintains unit records.
  • Ensures staff compliance with incentive requirements.
  • Manages purchasing, shipment and delivery of incentives.
  • Plan and coordinate logistics for Health and Nutrition Institute specific meetings and events.
  • Provides progress reports for incentive strategies.
Minimum Requirements
  • Knowledge equivalent to that which normally would be acquired through the first two or three years of college, such as an Associate's degree in a business-related field or in a field related to the area of employment.
  • One to three years of related and progressively more responsible or expansive work experience in performing tasks related to the area of employment.
  • Or an equivalent combination of education and experience. May require certification in the area of employment.

  • Demonstrated ability for accuracy and thoroughness.
  • Proficiency in use of technology (e.g., Zoom, Qualtrics, Microsoft Teams, Word, Excel, PowerPoint, Outlook for mail/calendaring, spreadsheets, scheduling, virtual learning platforms, Internet browsers/web research, etc.), and ability to learn new skills.
  • Ability to develop and maintain positive working relationships intra- and inter-organizationally.
  • Able to demonstrate sensitivity, knowledge, and use of appropriate approaches, skills, and techniques, which reflect an understanding and awareness of social, cultural, and economic diversity of the target population served.
  • Ability to maintain collaborative relationships and effectively communicate with diverse staff, partners, and participants.
  • Ability to work independently to organize and perform duties.
  • Ability to be proactive, have keen attention to detail, and exercise good judgement.
  • Knowledge of MSU/MSU Extension financial systems, policies and procedures.
  • Other skills and/or physical abilities required to perform duties of the position.
  • Proven ability in establishing and working with a diverse network of constituents and community members across race, color, gender, national origin, gender identity, religion, age, height, weight, disability, political beliefs, sexual orientation, marital status, family status, veteran status, socioeconomic class, and other differences.
  • Self-starter who can effectively work both independently and in a team environment with the ability to serve in both leadership and contributor roles.
  • Ability to lift and carry educational materials, equipment, etc. up to 25 lbs.
