Mid-MO Cleaning is Hiring an Office Manager Near Columbia, MO

We are seeking a highly organized and proactive Administrative Assistant to join our dynamic team. This role is crucial to ensuring the smooth operation of both our cleaning and real estate businesses. The ideal candidate will have excellent multitasking abilities, strong communication skills, and a keen eye for detail.

**Responsibilities:**

**Meeting Coordination:**

- Schedule agenda for weekly meetings

- Arrange breakfast/meals for weekly meetings

- Schedule and organize weekly meetings

**Client Relations:**

- Follow up with clients after each cleaning via phone call and email

- Send thank you cards to clients post-cleaning

- Follow up on late invoices weekly

- Contact old clients to inquire about cleaning needs

- Follow up with recurring clients biweekly to ensure satisfaction

- Collect Google reviews from clients after jobs

**Invoicing and Financial Management:**

- Deposit checks into the business account weekly

- Send invoices weekly

- Keep track of expenses weekly

- Pay bills and credit card payments weekly

- Provide weekly reports on revenue, expenses, and labor costs

**Office and Administrative Tasks:**

- Return packages, including Amazon returns

- Order shirts, supplies, and other office necessities

- Put signs in yards for new real estate listings

- Keep insurance documents updated

- Fill out required insurance forms for new clients

- Maintain updated information for each client

- Create gift cards and hiring cards for the business

- Follow clock in/clock out numbers daily

**Team Coordination:**

- Follow up with cleaners daily

- Keep track of attendance for cleaners weekly

- Hire new cleaners and run hiring ads

- Conduct interviews for new cleaners

- Schedule jobs and update schedules daily in Housecall Pro

- Plan monthly team outings (dinners, bowling, movies, etc.)

- Get birthday cards and Christmas presents for team members

**Personal Assistance:**

- Schedule personal appointments

- Arrange Luna's vet appointments

- Schedule cleaning for the house twice a week

- Schedule recurring car detailing

- Drop off/pick up dry cleaning

**Property Management:**

- Ensure rental is fully occupied with renters

- Run ads for short-term rentals

- Clean and maintain the hot tub at Rental

- Order signs for rentals

- Create restocking checklists for Airbnbs

**Marketing and Social Media:**

- Post on social media twice a week for both the real estate and cleaning company

- Run email campaigns three times a month for both businesses

- Prospect new clients and create lists of businesses to call

**Special Projects:**

- Plan and execute special events for clients and team members

- Email foreclosure sale dates weekly

**Qualifications:**

- Proven experience as an administrative assistant or in a relevant role

- Strong organizational and multitasking skills

- Excellent verbal and written communication skills

- Proficiency with office management software (e.g., MS Office, Housecall Pro)

- Ability to handle sensitive information with confidentiality

- Strong problem-solving skills and attention to detail
