Role Description:
We are looking for an Executive Assistant to perform a variety of administrative tasks supporting the executive team and our employees. Reporting directly to the CEO.
You will be working at the intersection of People and Processes. Responsibilities include managing calendars, making travel arrangements and managing employee engagement. To be successful in this role, you should be well-organized, have great people (soft) skills and be able to act without guidance. You bring a positive energy and are astute at reading the office dynamics to bring strategic thought to always improve the culture and employee satisfaction.
Ultimately, you will contribute to the efficiency of our business by providing personalised and timely support to leadership and foster fun inside the workplace.
Responsibilities:
Act as the point of contact among executives, employees, clients and other external partners
Liaison between our Benefits and HR provider and Employees
Manage information flow in a timely and accurate manner
Manage the voice of the team, encourage collaboration and bring the team together for fun events
Make travel and accommodation arrangements
Track PTO, payroll and manage Employee time off requests
Format information for internal and external communication – memos, emails, presentations, reports
Take minutes during meetings on occasion
Screen and direct phone calls and distribute correspondence
Organize and maintain the CEO office filing system
Requirements and skills:
Excellent verbal and written communications skills in English (Spanish or Mandarin language is a plus but not must)
Work experience as an Executive Assistant, Human resources or Culture/talent specialist
Excellent MS Office knowledge
Outstanding organisational and time management skills
Positive outlook and ability to independently solve challenges
Discretion and confidentiality
What's next in this role:
Following success in this role for 12-18 months, this could open doors to; Project Management, Human Resources, Sr. Executive Assistant, Employee Satisfaction Manager, Assistant Buyer, Operations assistant or other roles.
