Job Summary/Basic Function

The Associate Director of Enrollment Operations plays a pivotal role in managing and optimizing operations, processes, and data exchange for the enrollment management unit within academic affairs. Reporting to and in partnership with the Chief of Operations for Enrollment Management, this position is responsible for the planning, implementation, and maintenance of various processes involved with the effective enrollment of students to the University. The Associate Director supervises appropriate professional operations team members as well as student workers.

Required Qualifications
  • Bachelor's Degree or experiential equivalent
  • At least 2 years of experience working in a higher education enrollment management department.
  • Familiarity with higher education information systems and/or customer relationship management ( CRM ) software (i.e., Banner, Peoplesoft, Technolutions Slate).
  • Excellent oral, written, interpersonal communication skills.
  • Proficiency in Microsoft Office including Word, Excel, PowerPoint, Outlook.
  • Evidence of a commitment to diversity, equity, and inclusion.
  • Ability to work with students of diverse cultures, racial and ethnic groups.
  • Demonstrated strong analytical and excellent problem-solving skills.
  • Demonstrated ability to meet deadlines and exhibit initiative and self-motivation.

Job Description

Operations- Technical and Functional Lead for Enrollment Management Systems
  • Collaborate with the Chief of Operations on development of the enrollment technology and systems plan; bring together key stakeholders in implementing and maintaining various processes within technologies related to enrollment, serving as the technical and functional lead for Technolutions Slate CRM , BANNER , and the auxiliary systems that support them; and work closely with information technology on system implementation and integration.
  • Lead project teams that include internal and external constituents (e.g., consultants, subject matter experts, external vendors, University staff, and faculty) to build project plans and develop timelines for implementation; directly supervise and evaluate assigned staff; promote and lead professional development advancement for assigned areas; and attend assigned technical and functional training events and conferences.
  • Establish collaborative relationships with campus and administrative departments and community stakeholders to advance and promote programs; conduct tracking, reporting and research on processes and initiatives, conduct data analysis and produce reports; and develop and implements action plans in response.
  • Manage assigned projects relating to the events and communications sponsored and facilitated by enrollment management; collaborate with the Associate Director of Enrollment Marketing and Communications and department stakeholders to plan, build, and facilitate events and communications within Slate; assist with content management of assigned enrollment management websites; and generate and communicate data relating to effectiveness and outcomes of events and communications.
  • Oversee functional and logistics for student inquiry response management within Enrollment Management; coordinate student and staff teams to serve the needs of the inquiry load; develop and implement schedules; monitor and report on inquiry volume and other related metrics; and coordinate subject matter trainings for appropriate students and staff.
  • Collaborate with functional departments' leadership and individual stakeholders in Planning, Assessment, and Analysis, Student Life, Student Financial Services, and Information Technology to ensure functional interactions and effective policies, processes, and practices that communicate and correlate with all affected and interested areas; assist Enrollment Management leadership in overseeing the integrity of all systems and critical interfaces; act as a subject matter expert on the Slate and BANNER solutions with both internal stakeholders and interested members of the broader University community; serve as primary Slate Captain for Enrollment Management; in collaboration with leaders in the admissions, financial aid and registrar departments, plan, build, and maintain systems, workflows, and records management processes within Slate; develop and maintain, import and export source formatting for Slate CRM ; and manage the various student portals housed within Slate.
  • Assist with development and maintenance of predictive models to inform recruitment, admission, aid, and retention strategy for Enrollment Management.
  • Manage the internal Slate application; manage process for semester-based revisions to data on the application and manage the online payment portal; manage the yearly creating of and maintenance of external applications; and serve as the liaison for external application vendors.
  • Manage and perform data integrity assurance tasks to ensure commonality and regularity between all student information systems.
  • Manage data integration between Slate and Banner, including creating and managing source configuration for Axiom Data Integration and creating and scheduling document exports for applicants to transmit document imaging from Slate to the university imaging system.
  • Advise unit leadership on policies and procedures to identify new and innovative means to improve the efficiency and productivity of Enrollment Management systems; maintains expert-level knowledge and ability in the initial setup, ongoing analysis and programming, and overall status in the assigned areas of the Slate and Banner; assess, evaluate, and implement functionality of Enrollment Management operations within the BANNER system; coordinate the automation of processes, data management, running and building reports and queries; deliver ongoing training related to best practices within Slate and Enrollment Management Operations within BANNER and other key university departments.
