It involves a blend of project management to oversee initiatives, track actions, and maintain an issues list. Additionally, the role calls for administrative support to the President, relieving him of scheduling and logistical burdens and allowing greater focus on leadership responsibilities. This role also necessitates a close collaboration with the Head of Business Operations, to ensure that strategic and operational decisions are in sync, facilitating a cohesive execution of the organization’s goals. This position demands a high degree of stakeholder management, adaptability, keen attention to detail, and the ability to synthesize information from various sources. Key Responsibilities Strategic and Administrative Support: Provide comprehensive support to the President, encompassing both strategic advisement and administrative tasks to optimize his effectiveness and focus on the organization's priorities. Meeting Management: Ensure the President’s meetings are well-organized and productive, with clear agendas, pre-meeting briefs, and actionable follow-ups. Facilitate efficient communication and decision-making processes. Project Oversight: Monitor the progress of internal and external key projects and deliverables, keeping a close eye on timelines and milestones to ensure objectives are met on schedule. Issue Tracking and Prioritization: Maintain a dynamic list of key issues and priorities, ensuring that critical items are addressed promptly and effectively, with regular updates provided to the President. Global Team Coordination: Work comfortably across global teams and diverse cultures, ensuring that all parts of the organization are aligned and moving towards common goals. Administrative Logistics: Handle logistical arrangements such as travel planning and scheduling, providing support to the President in navigating complex schedules and commitments. Executive Communication: Assist in preparing and synthesizing reports, presentations, and communications for both internal and external stakeholders, ensuring clarity and impact. Your Typical Week to Week Responsibilities Schedule and Meeting Prep: Review and adjust the President's daily schedule, ensuring all meetings have clear agendas and necessary materials, including PowerPoint presentations, are prepared in advance. Briefings and Updates: Touch base with global team leaders, synthesizing information into concise briefs and communication materials for strategic decision-making. Meeting Attendance and Follow-through: Participate in key meetings, documenting decisions and action items, and coordinate the execution of follow-ups. Prepare and distribute post-meeting summaries and action plans. Communication Filtering: Manage the flow of information to and from the President, prioritizing critical communications and reducing information overload. Consolidate non-priority decisions and review with President and Head of Operations on a weekly basis. Draft and refine executive communications as needed. Issue / Organizational Goals Tracking: Maintain and update a list of key issues and priorities, ensuring critical items are addressed and progress is communicated. Logistical Support: Handle logistical needs such as travel arrangements and scheduling, ensuring the President’s commitments are met efficiently. Troubleshoot any travel issues that arise, providing solutions in real time. End-of-Week Review: Conclude the day with a review of project statuses and preparation of a summary for the President, identifying any urgent action points. Ensure readiness for coming week / month’s agenda Flexibility and Extended Hours: Be prepared to adjust plans swiftly and work beyond standard hours to address urgent issues or prepare for key events, maintaining a high level of readiness and responsiveness. Qualifications Educational Background: Bachelor’s or Master’s degree in Business Administration, Communications, Supply Chain Management, or a related field, with a preference for candidates who have pursued additional training or certifications in project management or leadership. Professional Experience: 7 - 10 years of experience in roles that required strategic planning, executive support, or project management, ideally within the Apparel industry or a similar sector. Demonstrated success in managing senior-level projects and initiatives, with a track record of tangible achievements. Technical Proficiency: Advanced skills in Microsoft PowerPoint and Excel, with a strong ability to create compelling presentations and perform complex data analysis. Familiarity with business analysis techniques and tools. Compensation/Benefits: The approximate annual base salary range for this position is $140,000.00 - $160,000.00. The offered salary or salary range for this position will vary based on role requirements, skill set and years of experience.
