Minnesota Judicial Branch is Hiring a Continuing Legal Education/Lawyer Registration Specialist Near Saint Paul, MN

Description:

The Minnesota Board of Continuing Legal Education (CLE) is seeking an Office Assistant III-Continuing Legal Education and Lawyer Registration Specialist. The Continuing Legal Education and Lawyer Registration Specialist processes and maintains attorney CLE compliance and annual license renewals and reviews course approval requests. The successful candidate will have strong customer service skills, strong organizational and written communication skills, as well as the ability to set priorities, manage competing deadlines and work well in a team. 

Job Duties:

The following are examples of major job duties expected for this position to perform.

  • Answers phone and email inquiries from lawyers, judges, court personnel, and others related to the Lawyer Registration Rules, Continuing Legal Education Rules and requirements regarding license requirements. Provides assistance to the lawyers, judges and others concerning how to use online portal.
  • Reviews, verifies, and enters Lawyer Registration statement information into the database; processes annual fees and prepares daily deposits. Verifies lawyers’ good standing and issues Certificates of Good Standing and Certificates of Registration upon request.
  • Maintains and updates lawyers’ CLE status and compliance. Assists with transfer of lawyers from and to involuntary restricted status; calculates transfer requirements and advises attorneys of the requirements. Provides advice on how to meet transfer requirements of Court Rules.
  • Reviews CLE course accreditation requests and approves or denies credit based on compliance with Rule criteria; receives and enters course accreditation application requests and fees, late fees, transfer fees, and course accreditation invoice payments; scans all incoming information.
  • Assists with registration for monthly admission ceremonies. Collects Oaths and payments, enters new admittees into database.

Minimum Requirements

Below are the past experiences that will enable success in the role. For education requirements listed, the equivalent number of years of related experience may serve as a substitute.

  • Possession of an Associate’s degree from an accredited college or university in business, secretarial sciences, or a related field, OR graduation from high school, or equivalent, and 
  • 2-5 years of office clerical or secretarial experience.

  • Strong customer service skills
  • Strong attention to detail
  • Ability to learn and use custom software applications.
  • Ability to draft clear, concise correspondence and reports using proper grammar and spelling.
  • Ability to work well with others in a setting of shared responsibility and work independently with minimum supervision.
  • Skill in handling multiple competing tasks and priorities.
  • Ability to function well under the pressure of deadlines.

Preferred Qualifications

  • BA/AA degree and 3 years of similar experience.
  • Excellent word processing and computer skills.
  • Advanced knowledge and experience with EXCEL and OUTLOOK and other MS Office products.
  • Typing skills of 55 WPM.
  • Excellent organizational skills.

Salary:

The expected starting salary range for external candidates is $23.60-$29.53 per hour ($49,277 - $61,659 annually). The full salary range for this position is $23.60-$35.45 per hour ($49,277 - $74,020 annually). This position is non-exempt under the Fair Labor Standards Act and is eligible for State of MN employee benefits.

Position Logistics and/or Physical Work Environment:

This full-time position is classified as an Office Assistant III. The position will work normal business hours of 8:00 a.m. – 4:30 p.m., Monday through Thursday and, 7:30 a.m. – 4:00 p.m., on Friday. This work will be conducted in a hybrid setting requiring at least one day per week being in-person at the Minnesota Judicial Center in St. Paul, Minnesota. In addition, the first six months of employment will be fully in-person.
