Job Description
DESCRIPTION:

The Tenth Judicial District, which includes eight counties in the Northern Suburbs of the Twin Cities Metro Area, is seeking qualified applicants for a full-time Court Operations Specialist to join the Wright County Court Administration team.

The Court Operations Specialist serves as a subject matter expert (SME) and will be a trainer/mentor to new and existing employees. The position would respond to both urgent and non-urgent requests for assistance in scheduling, judicial court coverage, clerking needs and jury trial needs changes. A high level of independence in handling workload assignments and a variety of sometimes complex scheduling/coverage is expected at this level.

This AFSCME-represented position is classified as a Court Operations Specialist and located in the Wright County Justice Center at 3700 Braddock Ave. Buffalo, MN 55313, with the possibility of a remote or hybrid work environment. Core business hours are Monday-Friday, 8:00am-4:30pm. Initial days off: Saturday, Sunday, and Court Designated Holidays.

EXAMPLES OF JOB DUTIES :

  • Enters the calendar plan into case management system (MNCIS).
  • Work independently and collaboratively to keep all calendars updates as changes are made and judicial time off needs are identified, arrange coverage when appropriate.
  • Consistently review calendars to ensure adequate sessions are available and cases are set in proper place. Provides input on workflow and process improvements for calendars.
  • Schedule block hearings when applicable.
  • Prepare scheduling orders.
  • Attend meetings regarding calendar or courtroom clerking discussions. Maintains knowledge of court policies, processes, and procedures.
  • Serves as a courtroom clerk.
  • Serves as a subject matter expert and resource for court operations staff, judges, and stakeholders, etc. using advanced knowledge and expertise to answer questions, address complex or unique case scheduling situations, and solve problems.
  • Counter assignments as scheduled.
  • Consistent monitoring of the email account and phone line where scheduling requests are sent.
  • Work with jury and interpreter programs.
TYPICAL QUALIFICATIONS:

Minimum Education and Experience: Any combination of training and work experience which indicates possession of the knowledge, abilities, and skills listed below.
  • Possession of a high school diploma or equivalent, considerable court operations knowledge and/or experience, experience with court scheduling and court calendars, as well as experience with all case types.
Minimum Knowledge, Skills and Abilities:
  • Considerable knowledge of court scheduling and calendaring practices
  • Knowledge of appropriate procedures for processing a variety of legal documents and for proper record imaging, maintenance, and retention.
  • Considerable knowledge of court procedures and policies, laws, legal terminology and legal factors pertaining to the court.
  • Knowledge of the organization, operation, function, and jurisdiction of the court.
  • Knowledge of electronic case management system and related applications.
  • Knowledge of modern office practices and procedures.
  • Knowledge of customer service practices.
  • Skill in the operation of a personal computer, including electronic case management system and related applications and equipment.
  • Ability to maintain an accurate record filing system.
  • Ability to understand and follow oral and written instructions.
  • Ability to handle sensitive and confidential matters and files appropriately and in compliance with all applicable court rules, policies, and statutes.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to prioritize work in a fast-paced environment.
  • Ability to establish and maintain effective working relationships with others within and outside of the Judicial Branch.
Working Conditions

Work is performed primarily in an office-setting, a public counter and/or in a courtroom.

Physical Demands

Work is essentially sedentary with occasional walking, standing, bending, and carrying items less than 25 pounds such as papers and files. Some positions may require periods of extended sitting, standing, use of telephones and office equipment, and use of computers to enter and retrieve data. Some positions may require standing on a ladder to retrieve files from high shelves.

SUPPLEMENTAL INFORMATION :

This AFSCME-represented position is posted for bidding, internal, and external application simultaneously. Initial salary may be offered up to the mid-point of the pay range, based on qualifications.
