Job Title: BSN Completion Administrative Assistant and Simulation Assistant
Full-Time: 40 hours per week
Reports to: Department Chair, BSN Program Director, and LRC and Simulation Director
The BSN Completion Administrative Assistant and Simulation Assistant is a full-time position that supports the administrative functions of the BSN Completion program and assists in the preparation and operation of the simulation lab. Additionally, this position will have shared duties with the Pre-Licensure Nursing Administrative Assistant, which includes but is not limited to duties such as test proctoring, answering department phone calls, department ceremonies planning. The ideal candidate is detail-oriented, proactive, and capable of balancing administrative tasks with technical responsibilities in a fast-paced academic environment.
BSN Completion Administrative Assistant (50%)

Administrative Support
- Assist the BSN Completion Program Director with daily office operations.
- Schedule meetings, appointments, and site visits for the Program Director.
- Assist with the preparation of accreditation reports, surveys, and other compliance documents as needed.
- Manage and maintain accurate student records, databases, and reports, including student enrollment and progression.
- Coordinate the collection and processing of BSN completion student paperwork such as CPR, license verification, and transcripts.
- Order and maintain office supplies, manage filing systems, and ensure the office environment is efficient and professional.
- Manage incoming and outgoing communications, including phone calls and emails for the department of nursing.
- Process and verify all invoices and statements related to the BSN Completion program to determine if payment is required. Prepare payment requests to issue payments to vendors, identify funding sources for payments, and generate purchase orders for the procurement of office supplies and equipment.
- Maintain monthly budget reports.
- Assist with sending out admission, acceptance, and scholarship letters to students

Student Support
- Support the program director in scheduling, coordinating, and participating in student advising sessions.
- Maintain up-to-date records of student progress and communicate with students regarding program deadlines (i.e., graduation applications, registration, etc.), events, and updates.

Data Management
- Organize and maintain electronic and physical files for the program, ensuring accurate and timely record-keeping.
- Input and track student information in the university’s databases, preparing reports as needed.

Marketing and Recruitment Support
- Help organize recruitment events, including visits to ADN programs and information sessions.
- Maintain and update department of nursing information on the university website and promotional materials.
- Other duties as assigned
- Serve as the first point of contact for prospective and current BSN Completion students, providing general program information, answering inquiries, and assisting with the application process.
- Assist students in registration, enrollment, and navigating the online learning platform.
Simulation / Lab Assistant (50%)

Simulation Lab Preparation and Setup
- Prepare simulation labs by setting up equipment, manikins, and other materials as required for each simulation scenario.
- Ensure that all equipment is functioning correctly and troubleshoot any technical issues.
- Maintain simulation labs, including cleaning, organizing, and restocking supplies.

Simulation Operation and Support
- Operate simulation software and audio/visual equipment during simulation sessions to record student performance.
- Assist students with understanding equipment use, simulation protocols, and ensure LRC guidelines are followed.
- Help orient students to the simulation lab environment and equipment.
- Troubleshoot and report equipment malfunctions or supply shortages to the appropriate personnel for prompt resolution.
- Conduct regular inventory checks and coordinate the purchasing and restocking of lab supplies, including manikins, task trainers, IV pumps, and other medical equipment.
- Other duties as assigned
Qualifications
High school degree; required. Experience in nursing education, healthcare administration, or simulation technology is a plus.
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and database management.
- Strong organizational abilities.
- Excellent written and verbal communication skills.
- Familiarity with simulation technology and healthcare equipment, or willingness to learn.
- Ability to multitask, prioritize, and work independently while also being a team player.
Working Conditions:
- The role involves both office work and hands-on tasks in the simulation lab, requiring frequent movement between different spaces and lifting/moving of lab equipment.
- Flexibility to adjust work hours to accommodate simulation schedules or program events is necessary.
