Join us as the Scheduling Administrator!

As the Scheduling Administrator for MiraVista in Holyoke Massachusetts, You will play a pivotal role in our hospital's operational efficiency. This position ensures optimal staffing levels across all departments to meet the dynamic needs of our patients while ensuring adequate coverage for all shifts per Department of Mental Health Regulations you’ll bring your experience and knowledge to where your voice matters.

How You Care for Our Patients

The responsibilities of the Scheduling Administrator:

  • Generate weekly and monthly schedules for clinical staff, ensuring equitable distribution of shifts and adequate coverage for all clinic services.
  • Coordinate with department leads to forecast high-demand periods and plan accordingly
  • Handle day-to-day scheduling changes, including sick calls and unexpected staffing needs, with minimal disruption to clinic operations.
  • Maintain open and effective communication with clinical staff regarding scheduling policies, changes, and updates.
  • Participate in administrative meetings to discuss staffing strategies and improvements to scheduling processes.
  • Respond promptly to staffing emergencies, arranging for coverage in cases of unexpected absences or sudden increases in patient volume.
  • Use scheduling software to track staff availability, preferences, and time-off requests, ensuring accurate and up-to-date information.
  • Conduct orientation sessions for new clinical hires, explaining the scheduling process and policies.
  • Address and resolve scheduling conflicts and challenges in a timely and fair manner. • Engage in recruitment efforts by identifying staffing gaps and communicating needs to management.
  • Actively provides, seeks and utilizes feedback to enhance personal development and promotes team effectiveness
  • Adheres to all policies and procedures pertaining to the confidentiality of Protected Health Information (PHI)

You Bring Meaningful Experience

Successful candidates will have the following:

  • LPN license or bachelor’s degree in a related field preferred; High School Diploma required
  • Years of experience may be considered in lieu of bachelor’s degree
  • 3 years of scheduling experience in a healthcare setting; hospital setting preferred
  • Strong organizational and communication skills
  • Proficiency in healthcare scheduling software
  • Ability to work flexibly and respond to changing needs with agility
  • Excellent problem-solving and negotiation skills
  • Ability to manage multiple tasks simultaneously
