Project Coordinator

This is a 5-year grant-funded position through SAMHSA

Reports to:

Project Director

JOB DESCRIPTION Summary/Objective

The Project Coordinator role will be a major part of the success of a 5-year SAMSHA grant. We are looking for a responsible Project Coordinator to administer and organize this project, from simple activities to more complex plans. Project Coordinator responsibilities include working closely with our Project Director to prepare comprehensive action plans, including resources, timeframes, and budgets for projects. You will perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation and handling financial queries. To succeed in this role, you should have excellent time management and communication skills, as you’ll collaborate with clients and internal teams to deliver results on deadlines. Ultimately, the Project Coordinator’s duties are to ensure that all projects are completed on time, within budget, and meet high-quality standards. They organize and communicate details related to a specific assignment or task while serving as an interface between team members and managers.

Essential Functions

  • Coordinate project activities, resources, equipment, and information between various programs
  • Break projects into doable actions and set timeframes
  • Liaise with clients to identify and define requirements, scope, and objectives
  • Assign tasks to internal teams and assist with schedule management
  • Make sure that client’s needs are met as projects evolve
  • Help prepare budgets
  • Analyze risks and opportunities
  • Oversee project procurement management
  • Monitor project progress and handle any issues that arise
  • Act as the point of contact and communicate project status to all participants
  • Work with the Project Director to eliminate blockers
  • Use tools to monitor working hours, plans, and expenditures
  • Issue all appropriate legal paperwork (e.g., contracts and terms of the agreement)
  • Create and maintain comprehensive project documentation, plans, and reports
  • Ensure standards and requirements are met
  • Working closely with community partners and solving issues that may arise
  • Facilitate Steering Committee meetings and connect partners to project
  • Maintains training and license in HMIS data system. Maintains updates in the data system and other requirements of the data system.
  • Maintains data requirements for SAMSHA in the SPARS system
  • Participates in educational and required training of the agency.
  • Participates in agency staff meetings.

Skills

The Project Coordinator must possess excellent oral and written communication skills, have a high level of emotional intelligence, and possess computer skills including Microsoft Word, Email, PowerPoint, and Excel with the ability to learn new computer programs. The Project Coordinator must be able to assist a variety of populations (mentally ill, disabled, substance use, etc.), have the ability to solve problems, make decisions, resolve conflicts and listen, and deal calmly in crisis situations. The Project Coordinator should possess strong interpersonal skills with the ability to be compassionate and firm and always maintain confidentiality.

Education/Experience Requirements

At a minimum applicants must possess a high school diploma The Project Coordinator must possess 3 years of project coordinator experience. Lived experience applications preferred- NCCPSS or CADC preferred. In-house clinical supervision available.

Job Type: Full-time

Pay: $40,000.00 - $42,000.00 per year
