Administrative Assistant to CFO & Accounting Team

Position Overview: We are seeking a dynamic Administrative Assistant with 1-4 years of experience in financial services to provide comprehensive support to our Chief Financial Officer (CFO). This role will also involve providing occasional assistance to two Partners and Managing Directors within a prestigious firm. The ideal candidate will thrive in a fast-paced environment, possess exceptional organizational skills, and demonstrate a proactive approach to administrative support.

Key Responsibilities:

  • Executive Support: Provide high-level administrative support to the CFO, including managing calendars, scheduling meetings, and arranging travel itineraries.
  • Communication: Serve as a primary point of contact for internal and external communications on behalf of the CFO, Partners, and MDs.
  • Documentation and Correspondence: Prepare and proofread correspondence, reports, presentations, and other documents as needed.
  • Office Management: Maintain office organization and efficiency, including ordering supplies and coordinating office events.
  • Ad Hoc Projects: Undertake special projects and assignments as delegated by the CFO, which may include research, data analysis, and preparing briefing materials.
  • Client Relations: Assist in managing client relationships through timely and professional correspondence and coordination of meetings.
  • Team Collaboration: Work closely with other administrative staff to ensure seamless support across the organization.

Qualifications:

  • Experience: 1-4 years of experience as an Administrative Assistant, preferably in financial services or a related industry.
  • Education: Bachelor’s degree or equivalent experience preferred.
  • Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with financial software and databases.
  • Organizational Skills: Strong attention to detail and ability to manage multiple tasks and priorities effectively.
  • Communication: Excellent verbal and written communication skills, with a professional demeanor.
  • Proactive Nature: Ability to anticipate needs, take initiative, and problem-solve independently.
  • Confidentiality: Discretion and ability to handle sensitive information with utmost confidentiality.
