Job DescriptionMobile Staff Solutions is now hiring Technical Records Coordinator in the Tampa area. This position temp to hire!
SummaryThe TRC role is to develop or improve record-keeping systems and to maintain required records for quality assurance and control; and to assist in ensuring that needed documents are provided or updated by others. Assist project managers in the review and assembly of documentation which is part of project contract requirements.
Essential Duties And ResponsibilitiesWelding
Develop and maintain unified welder continuity logs for shop operations.
Organize and maintain shop welder qualification test reports.
Notify QC in a timely manner when welder certifications need to be renewed.
Track 3-month calibration requirements for welding equipment and remind QC when calibrations are needed.
Track expiration of PQRs and notify QC in a timely manner when tests need to be rerun.
Organize PQR and WPS files on the server, and in hardcopy as needed.
QC/QA
Track expiration dates for NDT and CWI certifications and visual acuity exams for personnel and notify the QC/QA Manager in a timely manner when certifications are going to expire.
Track certification expiration dates for subcontracted inspectors and request new certifications when they expire.
Track calibration requirements for inspection-related equipment (NDT equipment as well as anything listed in calibration procedure and remind QC in a timely manner when calibrations are due.
Develop systems to track required NDT, especially for jobs where travelers or weld maps are not required by contract, and verify that all required NDT has been performed. Maintain awareness of shipping schedule and notify QC of missing records. Work with QC department to ensure that NDT records are traceable to the welds examined in a manner understandable to outside parties.
Develop a system for bringing visual inspection records into the permanent project record on the server.
Scan paper records (painting, travelers, annotated drawings).
Assist in shop certification renewal process (ASME, AISC, State DOT’s, etc.)
Constantly stay on top of open issues
Shop Drawings (internal and subcontracted)
Review shop drawings to ensure that all internal review comments have been incorporated.
Review shop drawings to ensure that all customer review comments have been incorporated.
Review RFI responses and shop drawings to ensure that all RFI-based changes have been incorporated into drawings.
Track timelines for submittals and returns.
Project Management
Assist PM’s with project specifications review and the assembly of documents for submittal.
Assist PM’s and QC with quality assurance documentation.
Assist PM’s with project specific documentation and information requirement.
Monitor project progress with PM’s to maintain document control and a timely closeout process.
Production
Track NCRs and verify closure, including any required inspection records.
Track timelines for submittals and returns of NCRs and RFIs
Procurement
Work with project managers, purchasing, and others as applicable to ensure that required preliminary and ongoing vendor evaluations are on file.
Knowledge & ExperienceAt least 5 years’ experience in structural steel fabrication.
At least 2 years’ experience in structural steel inspection.
Proven problem-solving abilities.
Excellent computer and communication skills.
Ability to read and interpret contract plans and shop drawings.
Ability to read and interpret codes and specifications.
High school diploma or GED required.

Dexterity of hands and fingers, or ability to use alternative assistive equipment, to operate a computer.
Occasional shop floor visits.
REPORTING & COORDINATION
Work with QC/QA, project managers, detailing, purchasing, etc. Consult with VP for prioritizing schedule conflicts.
