PURPOSE

To perform Receptionist and Administrative Assistant duties, Data Entry, and Accounts Payable functions.

PRINCIPAL ACCOUNTABILITIES

DATA ENTRY ADMINISTRATIVE ASSISTANT:
- Greet visitors and direct them to the appropriate department.
- Answer and forward incoming phone calls.
- Manage incoming and outgoing mail, FedEx, and UPS packages.
- Send out promotional material to customers and salesmen.
- Assist with preparation of presentations, reports, and other documents.
- Assist with scheduling and coordinating meetings, conferences, and travel arrangements.
- General Filing – Invoices, Vouchers, Checks, etc., End of Year File Rotation.
- Run/Print Monthly Depletion Reports.
- Run weekly system reports for Director of Operations.
- Misc. – Run errands for Company (i.e., birthday cakes, Halloween candy, etc.).
- Meter Reading for copier machine.
- Monitor office supply inventory and order supplies when necessary.
- Perform other administrative duties as assigned.
- Fill Vending Machine.
- Empty machine of cash.

PURCHASE ORDERS/REQUISITIONS:
- Receive requisitions from employees, generate, and process purchase orders to vendors.
- Fill out credit applications and tax forms as needed.

ACCOUNTS PAYABLE-VOUCHERING/RUN CHECKS:
- Maintain Vendor Master File.
- Match bills to receipts for goods and services, process vouchers.
- Run Open Order Reports.
- Print payable checks weekly.
- Run End of Month reports once all invoices are vouchered for that month.
- Mail or email invoices to customers.
- Process Expense reports/commission.

PROCESS CUSTOMER ORDERS:
- Process Customer Purchase Orders – Print from email, verify quantity, price, and location. Send customer confirmation of PO.
- Enter orders in Accounting Software, verify and print manifest, give to warehouse for shipment.
- Make copies of all POs and give them to Director of Operations and email to appropriate sales manager.

ACCOUNTS RECEIVABLE-INVOICING:
- Process daily shipments into accounting software for invoicing of orders shipped.
- Process Bailment Fees.
- Process Credit/Debits.
- Process Semi/Monthly Controlled State Invoices.
- Breakdown Invoices, make copies of backup and mail or email to customers.
- Run End of Day Reports.

BOTTLE/KNOCKDOWN INVENTORY:
- Manually add in receipts from warehouse to Inventory Book.
- Manually deduct production receipts from warehouse to Inventory Book.
- Make copies of BOL after bottles are entered in system for Vendor/Trucking backup support to invoices.
- Once bottles are received into the system, make copies of BOLs for backup to vendors and truckers.

QUARTERLY & SEMI-ANNUAL WASTEWATER COUNTY REPORT:
- Type Quarterly & Semi-Annual County report for Plant Manager and send to Baltimore County.

**Any other duties and special projects assigned by the management.**

KNOWLEDGE/EXPERIENCE/COMPETENCIES

**Required:**
- This position requires an associate degree or equivalent experience with some accounting knowledge.
- Proficient in the use of MS Office and ERP software.
- Knowledge of Microsoft Dynamics Business Central preferred.
- 2-3 years’ experience in the beverage industry preferred.
- Must have good problem-solving and multi-tasking skills.
- Good interpersonal skills.
- Demonstrated ability to quickly learn new systems/processes.
- Excellent organizational skills.

PHYSICAL REQUIREMENTS/ENVIRONMENT/WORKING CONDITIONS
- Extended periods of computer work and screen time.
