About The DepartmentThe Montgomery County Department of Recreation , a nationally recognized and award-winning agency, is looking for experienced, highly motivated, and detail-orientated candidates for full-time work as an Administrative Specialist I support staff to the Business Services Team.
About The PositionThis professional support staff member will work in the Department of Recreation's central business office. Their role will involve providing administrative support, such as reconciling financial data, integrating VSI systems, conducting research, recruitment and hiring, performing background checks, and managing records. They will also provide other support functions to ensure timely responsiveness to constituents.
As An Administrative Specialist, You Will
  • Work as part of a team focused on providing exceptional business administrative services to the Department.
  • Create, maintain, and update HR records and filing systems, ensuring confidentiality and appropriate handling of personnel documents and information.
  • Prepare and update regular reports and datasets for both Finance and HR
  • Assisting in the onboarding and hiring of 2400 seasonal hires
  • Lead in coordinating training for other teams on Administrative Services processes.
  • Establish work priorities and coordinate them to meet deadlines and ensure an efficient workflow.
  • Work as a liaison between Finance and IT by assisting in ensuring best system practices and financial security and accuracy.
  • Compile and organize information to be included in the annual budget submission.
  • Organize and maintain financial, statistical, purchasing, and other agency records.
  • Perform other job-related duties as assigned.
To Be a Successful Administrative Specialist, You Should
  • Have at least one (1) year of demonstrated experience in human resources, budget/fiscal support, data collection analysis, and computer systems understanding.
  • Have excellent customer service and communication skills.
  • Be detail-oriented, timely, and reliable.
  • Be proficient in MS Office (including Outlook, Excel, & Word).
  • Be able to quickly learn Oracle-based software systems with a demonstrated ability to learn new technology.
  • Be able to manage multiple and competing priorities, and demonstrate a solution-oriented, collaborative approach to problem-solving and customer service.
  • Be able to handle sensitive, confidential information and exercise sound judgment responsibly.
Additional InformationAll candidates will be required to successfully pass a criminal history background check. This process will include State, Federal, and Sexual Offender registry checks.
This work may require work during non-traditional hours including early mornings, evenings/nights, weekends, and holidays; may require work that involves physical demands, occasionally working outdoors in varying weather and extreme temperatures; and the ability to attend meetings or perform work at locations outside of the regularly assigned workspace. Successful candidates may provide onsite coverage and support to other divisional activities during the work schedule.
To ensure a positive workplace and to comply with federal, state, and county laws, incumbents are responsible for completing mandatory training within the first three to six months or within the specified timeframe.

Minimum Qualifications Minimum Qualifications: Education : Graduation from an accredited college or university with a bachelor’s degree
Experience : One (1) year of professional administrative experience
Equivalency : An equivalent combination of education and experience may be substituted.
Preferred Criteria Preferred Criteria: Qualifications The applications of those individuals meeting the minimum qualifications will be reviewed to determine the extent, relevancy of training, and experience in the following areas:
  • Microsoft Excel mid-level experience, file management and spreadsheet applications
  • Professional skills in communicating orally and in writing.
  • Demonstrated ability to establish and maintain operational controls over assigned areas of work.
  • Experience preparing, and delivering effective, persuasive oral and written communication.
