Montgomery County Intermediate Unit is Hiring an Administrative Assistant - Student Services/Non-Pub Near Norristown, PA

A vacancy exists for an Administrative Assistant position to work within the Office of Student Services at the Montgomery County Intermediate Unit. The Administrative Assistant is responsible for performing administrative and secretarial duties in support of Non-Public Services.
Qualifications
  • No post-secondary degree required; Associates/BS Degree in general field preferred.
  • Minimum of 3-5 years of progressive experience in administrative support with preference in a school setting
  • Proficient in the use of technology including but not limited to email, Excel and spreadsheets, file servers with large data bases, google, One Drive, PDF, Teams, Word and zoom in communicating with internal and external stakeholders and maintaining electronic records.
  • Ability to work effectively as a collegial and collaborative member of a team.
  • Ability to work in an environment with frequent interruptions.
  • Ability to follow written and verbal directions, complete assigned tasks with minimal supervision and proficient with routine arithmetic calculations and computations.
  • Proficient in the operation and use of office and computer technology equipment.
  • Ability to complete assigned tasks with minimal supervision.
  • Ability to compose clear, concise, grammatically correct sentences and paragraphs.
  • Ability to organize office setting and work environment to accomplish tasks effectively and efficiently.
  • Ability to communicate effectively and exercise good judgement in prioritizing tasks.
  • Original certificates of clearance from the State Police, Child Abuse Registry, and PDE FBI.
Duties & Responsibilities
  • Assist in the preparation of all local, school, state, federal and other agency budgets, communications, meetings and reports as required.
  • Screen and monitor all email, voicemails and other communications and ensure they are forwarded to the appropriate administrator or staff member.
  • Maintain an updated and ongoing July 1st thru June 30th daily/monthly/annual due dates calendar as to when all local, school, state, federal and other agency budgets, forms, meetings and other reports are due. Ensure administrators and other staff are given timely notice of all deadlines and due dates.
  • Arrange and schedule meetings for administrators and other staff as needed. Reserve conference rooms with needed furniture arrangements in a timely manner.
  • Prepare, maintain and update all PDE Federal Programs TITLE I student data and related lists including end-of-year student goal attainment; LEA Federal Programs TITLE I contacts, Information Forms, Agreements, Proposals and semi-annual billing and invoicing.
  • Prepare, monitor and update all aspects of the Annual Non-Public Schools’ Needs Assessment
  • Develop and maintain accurate, comprehensive and timely databases for, but not limited to, students, staff, nonpublic schools contacts, federal grants and programs, master staff schedules, staff directory and PNPE updates.
  • Make travel arrangements for administrators as needed.
  • Maintain accurate annual inclement weather days usage report for nonpublic itinerant professional staff.
  • Oversee and monitor the ordering, inventorying, distribution and submission of purchase orders and related supporting documents to the Office of Business Services for all administrator approved instructional materials, supplies, furniture, technology equipment orders. Ensure the accurate and timely placement of all instructional license and subscription renewals.
  • Ensure the accurate and timely registration of all remediation students for the Fall, Winter and Spring NWEA MAP RIT progress monitoring assessments.
  • Accurately and timely process all vendor equipment and services invoices.
  • Maintain a collegial and positive working relationship with all internal and external stakeholders.
  • Refer all requests for the release of student information to the appropriate administrator.
  • Ensure the accurate and timely Child Find Reporting to the LEAs at the end of the school year.
  • Maintain itinerant staff reports of student behavior incidents.
  • Maintain collegial and collaborative professional interactions with Mental Health and Speech and Related Services and all other OSS programs and MCIU offices.
  • Provide administrative support coverage for other OSS programs as needed.
  • Ensure the accurate and timely completion of all documentation necessary for staff ACT 48 credits following professional development trainings.
  • Other duties and responsibilities as assigned.
Location:The Montgomery County Intermediate Unit is located in Norristown, PA and provide services to students in School Age K-12 and Non-Pub classrooms located throughout Montgomery County, PA.
Work ScheduleMonday - Friday, 7 hours/day, 12 months (260 - 262 days/year)
Pay Rate$24.86/hour - $29.25/hour
