Moore & Van Allen PLLC is Hiring a Director of Administration Near Charlotte, NC

Moore & Van Allen PLLC, a dynamic and fast-growing full-service law firm of more than 400 attorneys and professionals, is seeking a Director of Administration to join its Charlotte, NC office. The Director of Administration is responsible for overseeing the Charlotte and Charleston offices’ administrative functions, including facilities and hospitality, office and print services, reception, and legal administrative support. This role is critical to ensuring that the business needs of the firm are met across four administrative departments.

Essential Duties and Responsibilities:

Leadership and Management:

  • Manage a team of business operations professionals through direct reports who focus on facilities and hospitality, office and print services, legal administrative services, and the Charleston office’s administration.
  • Stay abreast of industry trends in the administration of law firms and make recommendations when appropriate.
  • Maintain relationships with vendors providing services to the firm, negotiating new local vendor contracts when applicable.
  • Provide department managers clear direction and support through goal setting with regular coaching and feedback.
  • Address employee relations issues within assigned departments, escalating to HR when necessary.
  • Ensure firmwide and local office policies and procedures are implemented in a timely and appropriate manner.
  • Collaborate with the COO and other management staff of reporting departments to draft and implement an annual administrative budget.
  • In collaboration with COO identify key performance indicators that will measure the team’s effectiveness and success and identify and accomplish short- and long-term goals related to areas of responsibility.
  • Ensure a professional and positive work environment and facilitate effective communication among staff.

Facilities & Hospitality Management:

  • Through oversight of the Facilities Manager, ensure a safe and clean working environment for the firm’s employees, perform routine maintenance on facilities and liaise with building management on matters involving firm space and office services.
  • Maintain an awareness of local external events that could impact office access (weather, civil unrest, large meetings/events/conventions impacting local city offices).
  • Collaborate closely with cross-functional teams in oversight of security, emergency preparedness, and communication during emergency events.

Legal Administrative Support Services:

  • Through oversight of the Legal Administrative Support Manager, ensure the development of legal support staff coverage models & strategies, as needed, specific to practice teams.

Office and Print Services:

  • Through oversight of the Print & Office Services Manager, oversee operational and procedural functions and activities related to shipping, receiving, and mailroom sorting, handling and distribution of materials and products.
  • Establish print services standards, oversee quality control for final print services projects, ensure deadlines are met, and manage overall print services operation.

Charleston Office Administration:

  • Provide support and direction to Charleston’s Office Administrator related to the day-to-day activities of the office.
  • Ensure that firm policies and practices are adhered to consistently.

Other Responsibilities:

  • Develop metrics that will identify trends in utilization and effectiveness of all four administrative departments.
  • Review and negotiate supplier contracts and for procurement of non-technical goods and services.
  • Meet regularly with direct reports and the COO to report on and establish priorities for departments.
  • Collaborate with other departments such as HR and Marketing on the coordination of office engagement events.
  • Work on special projects and drafting office-wide communications.
  • Regular and in-person attendance is required to perform essential functions of this interactive position.
  • Other duties and responsibilities as assigned.

Qualifications & Experience:

  • Bachelor’s Degree required; Master’s Degree or JD preferred
  • 7 years of operational leadership experience with demonstrated career progression in a Law firm or professional services environment.
  • Experience managing multiple functions within a professional environment.
