Job Summary:

We are seeking an experienced and highly organized Bilingual Mandarin Admin Manager to oversee and coordinate our administrative functions. The ideal candidate will have strong managerial skills, exceptional attention to detail, and the ability to communicate effectively in both Mandarin and English. This role requires a proactive individual who can manage office operations, support senior management, and facilitate communication between Mandarin-speaking and English-speaking stakeholders, including communication with our parent company in Taiwan.

Key Responsibilities:
Office Management:
  • Oversee daily office operations to ensure efficiency and productivity.
  • Maintain office supplies inventory and order supplies as needed.
  • Ensure the office environment is well-organized and professional.

Administrative Support:

  • Provide administrative support to senior management and other departments as required.
  • Manage calendars, schedule meetings, and coordinate travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.

Team Management:

  • Supervise and support the administrative team, including assigning tasks and evaluating performance.
  • Conduct regular team meetings to ensure clear communication and alignment of goals.
  • Facilitate professional development and training opportunities for team members.

Communication:

  • Serve as the primary point of contact for Mandarin-speaking and English-speaking stakeholders.
  • Translate documents and communications between Mandarin and English.
  • Facilitate meetings and discussions between Mandarin-speaking and English-speaking team members.
  • Handle Mandarin Chinese and English translation tasks.
  • Communicate effectively with the parent company in Taiwan to ensure alignment and clarity on various matters.

Policy Implementation:

  • Develop, implement, and monitor office policies and procedures.
  • Ensure compliance with company policies and relevant regulations.
  • Handle sensitive and confidential information with discretion.

Project Coordination:

  • Assist in planning and executing company events, projects, and initiatives.
  • Coordinate with different departments to ensure timely completion of projects.
  • Track project progress and provide regular updates to management.

Customer and Client Relations:

  • Manage relationships with vendors, suppliers, and service providers.
  • Handle inquiries and resolve issues from clients and customers.
  • Ensure a high level of customer service is maintained.
Requirements:
  • Education: Bachelor’s degree in Business Administration, Management, or a related field.
  • Experience: Minimum of 5 years of administrative management experience, preferably in a bilingual environment.
  • Language Skills: Fluency in both Mandarin and English, with excellent verbal and written communication skills.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Management Skills: Strong leadership and team management abilities.
  • Organizational Skills: Excellent organizational and multitasking skills with a strong attention to detail.
  • Interpersonal Skills: Ability to work effectively with a diverse team and manage cross-cultural communication.
  • Problem-Solving Skills: Strong problem-solving skills and the ability to make decisions independently.
  • Professionalism: High level of professionalism and the ability to handle confidential information discreetly.
