Job Description:
Mount Holyoke College's Library, Information, and Technology Services (LITS) Division empowers a diverse and inclusive learning community equipping every person to purposefully engage the world. Reporting to the Manager of Endpoint Services, the IT Asset Coordinator role is responsible for technology asset management, including optimizing the value and spend related to hardware/software assets while mitigating risk. Attention to detail is critical for this role which procures college technology assets, ensures that hardware and software assets are properly accounted for throughout their lifecycle and manages related processes. The IT Asset Coordinator builds and maintains strong working relationships with end-users, campus partners, LITS partners and vendors, regularly seeking ways to improve service delivery and/or operational efficiency.
Each member of the team actively promotes the commitment of the College and LITS to diversity, equity, inclusion, and accessibility by identifying and implementing technology solutions to enable every person to engage with teaching, learning and college operations. Duties & Responsibilities
Technology Asset Lifecycle Management:
  • Coordinate and manage the technology lifecycle replacement process for faculty, staff, and computer labs. Oversee purchasing, receiving, inventory, and disposition of assets; maintain accurate physical and digital inventory for both hardware and software assets.
  • Develop, document, maintain and improve asset lifecycle management processes and procedures, working with area supervisors to ensure sustainable service delivery methods and practices. Collaborate with team members to ensure proper provisioning and reclamation of technology assets. Coordinate repair or replacement projects as needed including scheduling and communications.
  • Work with campus partners to understand changing needs/trends related to campus technology use. Evaluate computer standards at least annually in consultation with LITS partners, and budget managers.
  • Collaboratively review software license allocations/eligibility and renewals to inform planning and ensure campus needs are being met. Ensure compliance with license agreements.
Procurement & Vendor Management
  • Consult with faculty and staff to understand their technology and/or software needs. Process requests and issues through resolution using approved tracking systems; Coordinate details, including funding approvals and allocations.
  • Collaborate with hardware/software vendors to understand technology trends, lead times and service offerings. Ensure optimal price and quality for technology equipment and services. Collaborate on vendor assessment/selection as needed.
  • Manage budgets, purchases and related records in accordance with established college policies and procedures.
Additional Responsibilities
  • Ensure compliance with professional and technology standards, license and regulatory requirements, and MHC standards, policies, and procedures.
  • Deliver high quality customer service. Contribute to the resolution of TierII/III support issues as needed. Actively work with colleagues in LITS to create a welcoming and user-centered environment in which a diverse population of students, faculty, and staff can thrive.
  • Maintain currency in the field. Participate in professional development or training to stay informed and aware of evolving technology trends.
  • Attend and contribute to major campus-wide or LITS sponsored events, which may be held at night, on weekends or holidays, and which are part of every employee's core responsibilities.
  • Perform other team related duties as assigned.
Required Qualifications/Skills:
  • Bachelor's Degree in a technically-related field preferred, but we welcome and will consider otherwise qualified candidates who demonstrate a combination of credentials and experience that support the requirements of the position.
  • Certifications related to one or more of the following or ability to become certified (within one year): CompTIA A , CSAM/CAMP/CHAMP (or similar) or ITILĀ© Foundations
  • Minimum of 2-4 years experience working in a technology/desktop support role. Proficiency with supporting Windows and Macintosh operating systems at an enterprise level.
  • Excellent organizational skills and attention to detail. Flexibility to accept, manage and incorporate change and the ability to manage multiple tasks and priorities simultaneously and effectively in a fast-paced environment.
  • Excellent oral/written communication and problem-solving skills and the ability to work independently with minimal supervision.
  • Proficiency with reporting, data manipulation and/or using spreadsheets to analyze information to generate projections or report progress against defined goals.
  • Proven customer service skills; enthusiastic service orientation with sensitivity to the needs of a diverse set of users at all skill levels; the ability to convey technical information to a non-technical audience is essential.
  • Demonstrated ability to maintain professionalism and remain calm and focused under pressure while working with a broad range of constituents to coordinate complex projects. Demonstrated ability to act tactfully in all interactions, ensuring confidentiality and an individual's right to privacy regarding appropriate information.
Preferred Qualifications/Skills:
  • Experience in a higher education or non-profit environment.
  • Experience planning/managing/coordinating small to medium projects to successful completion.
  • Experience with consulting or procurement related to assistive technology or audio visual presentation systems.
  • Experience related to one or more of the following helpful:
  • Workday
  • Teamdynamix, ServiceNow, or KeyServer AllSight (or similar)
  • Network , Apple School Manager, or Jamf
Work Conditions
Work is performed primarily onsite. This position may be eligible for a combination of onsite and remote work. The remote work schedule will be subject to approval and periodic review in alignment with the College's Flexible and Adaptive work processes. Onsite work is performed in both an interior and exterior environments across campus. Frequent travel on campus to departments/buildings or occasional travel to local off-campus locations may be required.
PHYSICAL REQUIREMENTS*:
  • Regularly operates a computer and office productivity machinery.
  • The person in this position frequently communicates and exchanges information with end-users, co-workers, campus partners, and vendors.
  • Moves about workspace, particularly moving from one work site to another. Regularly receives and processes shipments, unpacks deliveries or packs/prepares packages for shipment.
  • Frequently moves computers, equipment, boxes or supplies weighing up to 25 pounds.
  • Occasionally operates transport vehicles.
