Responsibilities
Roles & Responsibilities:
  • Coordinates daily office operations
  • Prepares, transcribes, types and proofs a variety of memos, reports, correspondence and minutes
  • Collects and manipulates data to generate various reports for department, hospital and regulatory agencies. May develop own reports.
  • Signs and issues routine administrative correspondence
  • Coordinates and schedules appointments, meetings, and conferences. Reserves conference rooms, sets up agenda and makes travel arrangements.
  • Assists in administrative responsibilities and various projects
  • Maintains effective communication and work relationships with a wide variety of Medical Center personnel
  • Receives and responds to external inquiries and requests
  • Provides President and CNO with necessary information/data for meetings
  • Establishes and maintains Executive Office calendars
  • Works with President and CNO and other administrative staff to acquire necessary data
  • Interacts with other Medical Center administrative/managerial staff to procure pertinent information
  • Contacts outside agencies in order to acquire necessary information
  • Takes initiative and uses good judgment to research, coordinate, and follow through on assignments
  • Acts as recording secretary for various committees
  • Responsible for transcription and distribution of the committee meeting minutes:
  • Prepares and processes department reports and documents
  • Produces quality reports (word processing) on a timely basis
  • Effectively uses software for department purposes
  • Maintains documents and records in appropriate files
  • Maintains files for various departments and activities
  • Prepares and processes payroll records in timely and accurate manner
  • Demonstrates the ability to perform clinical/technical/service/administrative tasks

Qualifications
Requirements:
  • Experience in a hospital or clinical setting
  • Bachelors Degree or equivalent combination of experience and education.
  • Minimum 3-4 four years administrative/secretarial and office experience.
  • Excellent communication skills and the ability to interact with all levels of management.
  • Strong computer skills, micro-soft office, power-point, excel
