Job Description
Manages and ensures safe and efficient operations. Serves as a company representative on regulatory issues. Enhances operational procedures, systems and principles in the areas of information flow and management, business processes, enhanced management reporting and looks for opportunities to expand systems. Leads department's efforts in obtaining post-acute care insurance authorizations, oversees budgeting, reporting, planning, and auditing. Carries out supervisory responsibilities in accordance with hospital policies.
Responsibilities
  • Hires, trains, supervises and orients staff to departmental administrative procedures
  • Monitors daily activities and generates short and long-term reports for department and hospital leadership as needed
  • Works closely with staff to provide efficient flow
  • Assures adequate administrative staff coverage during operating hours
  • Oversees and resolves problems relating to systems including appointments, registration, physician referrals, medical records, staff/patient relations and billing
  • Determines opportunities to improve efficiency and assure adequate patient access
  • Performs special projects to evaluate methods and procedures for processing work or improving operating efficiency/effectiveness of the practice
  • Develops, collects and analyzes departmental statistical data
  • Prepares (directly or indirectly) all necessary billing for patients and insurance companies
  • Responsible for updating all office and medical staff on insurance regulations/requirements and changes that affect billing and collections
  • Trains and offers ongoing instruction to the office staff on scheduling appointments; processing registrations; batching encounter forms; posting charges, diagnoses, payments and rejections in IDX and Eagle (where applicable)
  • Demonstrates a comprehensive understanding of the departmental computer systems, including all IDX and Eagle applications
  • Assists office staff with computer problems, questions and training
  • Produces monthly statistical reports from the scheduling/procedure systems
  • Ensures that month-end activities are completed prior to close of books - for both IDX and Eagle systems (including working on missing charge report, open encounters, pending visits)
  • Contacts insurance companies regarding letters of necessity and coverage of specific surgical procedures if needed
  • Follows up with providers regarding incomplete bills and medical record documentation
  • Evaluates billing methods and procedures to improve efficiency and effectiveness
  • Develops alternative methods where necessary and implements with the approval of the Administrator
Qualifications
Education requirements:
  • Bachelor's degree required
Experience requirements:
  • Experience in management, operations, and leadership.
  • Ability to build consensus and relationships among managers, partners, and employees.
  • Solid understanding of financial management and general finance and budgeting.
