MP: Wired for HR is Hiring an Office Administrator Near Auburn, MA

ABOUT OUR CLIENT:

MP’s client was founded in 1978 and is a large real estate company with residential multifamily communities in Massachusetts and Maine. They consist of just under 40 employees and are looking to add staff to their team!

Someone who is organized, has worked in a professional environment for at least 3 years, has strong attention to detail and a desire to help others with their projects and initiatives. You are a team player who appreciates an organization that offers flexibility to work onsite and remotely due to the hybrid nature of this position. You have a positive attitude and are willing to do what it takes to get the job done. You have a basic understanding of the MS Office Suite and other software programs and are able to quickly grasp new technology systems in order to support the Property Management Corporate Office and SVP. WHAT YOU WILL DO:

Lead projects in collaboration with the Senior Vice President, HR Manager, accounting team and site staff.

Ensure that new project development is timely, successful, and meets expectations.

Participate in new project development and the implementation of project related activities for the company and/or sites.

Document and maintain current: reports on project development and progress, meeting minutes, decisions, schedules, budgets, and other pertinent records pertaining to all projects.

Implement and manage tasks in accordance with project objectives, company guidelines and set timelines.

Assist staff with their project specific activities in a timely and efficient manner, develop project plans, compile and analyze data, produce project reports, maintain project plans, and schedule meetings.

Prepare multi-media presentations and reports utilizing a variety of software applications.

Initiate and maintain contact with key personnel including staff, site managers and external parties during projects and other tasks.

Participates as a member of project teams.

Update the Senior Vice President, HR Manager and other staff on project details and changes in a timely manner.

Recommend alternative courses of action and implement changes when necessary.

Project leader and partner on all company, site and IT improvements, procedures, corporate initiatives, rollouts, and special projects.

Maintains comprehensive plans, documentation and reports on all projects and provides consistent updates when needed.

Research and develop solutions to company and business concerns presented by the team.

Assist the HR Manager in coordinating all document management and marketing: logos, forms, letterhead, websites, social media, reputation management, and digital/ paper files.

Assist in coordinating all site special events and Spear parties in partnership with the HR Manager

Backup the Accounting Department with Accounts Payables, Receivables, Certificates of Insurance and projects as needed for coverage and support.

Provide support to the Senior Vice President, HR Manager, Accounting Manager, Office Manager, Business Managers and Administrative Staff at each site to assist in achieving project completions and research as required.

Responsible for performing day-to-day activities, resulting in the smooth operation of the corporate office.

Arranges, participates in, and implements conferences and meetings.

Efficiently records and distributes minutes for all SMG staff, Admin or general meetings.

Assist Officer Manager in all IT & Telephone system day to day support for set up and maintenance.

Coordinates registration of conferences, seminars, hotels, and air arrangements as requested for Senior Vice President, Property Managers and other team members.

WHAT YOU NEED:

  • At least 3 years of experience working in a professional environment (i.e. office manager, executive assistant, customer service representative, a small business office manager, or similar role).
  • Basic technology skills (MS Office Suite), Yardi strongly desired!
  • Valid Driver’s License

ADDITIONAL INFORMATION:

  • Client is willing to hire a part-time or full-time employee
  • Benefits offered for full-time employees, only

  • Non-Exempt / hourly position
  • Compensation range between $22-$25/hour
  • Hybrid schedule – Office is in Auburn, MA
