Early Childhood Center Administrative Assistant

Must have at least 12 units in EARLY CHILDHOOD EDUCATION!

Position Identification:

Starting Pay: $17.86

Part time - 12 months
Administrative Assistant 25 hours per week

General Description:

The Early Childhood Center Administrative Assistant functions as an assistant to the ECC Director in carrying out the daily operations of the Early Childhood Center.

Essential Job Functions:

1 Be prompt to work and dressed in a manner in conjunction with the dress code policy in the Personnel
Handbook.

2 Communicate effectively with students, parents, teachers, and supervisors. (Email, phone calls, parent notices)

3 Provide a loving, Christian environment that reflects Mt. Calvary’s values and reflects the vision and mission of the church and school and is clean, safe, and organized.

4 Support teachers in their essential functions, including keeping them informed of upcoming events and schedule changes, holding regular staff meetings, teaching in the classroom when needed, ensuring that the staff gets the appropriate breaks, and generally overseeing their responsibilities.

5 Perform general office duties including answering the main phone line, checking messages daily, and greeting people as they enter/exit.

6 Maintain current student files (ensuring that medical and state licensing requirements are followed)

7 Ensure that the children and families are treated with respect and confidentiality.

8 Care for sick children removed from the classroom until released to their parents. Give medications to students as directed by parents/physicians as required.

9 Attend all Early Childhood functions outside the “normal” work hours.

10 Assist the director in carrying out the Admissions process. (Tours, Enrollment)

11 Substitute in classrooms as necessary

12 Assist director in supply orders/needs/snack shopping

13 Deliver snacks to rooms daily

Core Competencies:

Communicate effectively with staff, students, parents, and any stakeholder with excellent written, verbal, and technology-based communication.

Develop and implement common Early Childhood Centr goals and support overall ministry goals.

Responsible for adequately training staff. Should also attend all meetings as scheduled and requested, along with attending and partnering with NLSA and/or
PSWD for accreditation or district-sponsored events/meetings. Should be present at all mutually agreed upon Preschool events.

Problem Solving- Implement changes in curriculum or programs as needed. Provide constructive feedback to Ministry Leadership, Mt. Calvary’s Administration, and Early Childhood staff. Work collaboratively and effectively to ensure issues are addressed consistently with church policies.

Self-Management- Anticipate the needs of self, students, and staff members, and manage time effectively. Prioritize work functions and projects as well as delegate tasks appropriately.

Planning/Organization- Work with ministry leaders to collaborate and achieve goals. Responsible for preschool curriculum, program planning, and overseeing its implementation.

Technology- Have excellent working knowledge of computer programs (including Google,Microsoft Word, Outlook, and Excel). Be trained and competent in using the church and school’s security system and the database, Gradelink.

Learning- Continue to seek professional growth through district training and outside resources, including conferences and seminars. Should stay current on new educational trends specific to early child development.

Initiative- Anticipate the needs of the Early Childhood staff and students and communicate those needs to the Principal or other appropriate authorities.

Requirements

1 Be a member of a Lutheran Church – Missouri Synod (LCMS) Church or be an active member at a Christian Church.

2 A commitment to maintaining a Christian Environment in a manner that coincides with Mt. Calvary’s core beliefs and values.

3 Committed to Lutheran education as a vital part of the church's ministry.

4 Possess such health and fitness that will allow the Administrative Assistant to function effectively under the rigors of a church, school, and the position. General needs will include lifting a box up to 40 pounds and standing on feet for extended periods.

5 Possess excellent written, oral, interpersonal, and technology skills.

6 Provide a criminal background check meeting the requirements of educational employees as established by the State of California, LCMS, and Mt. Calvary. Pass and Maintain all Live Scans, Health
& TB screenings, and current CPR and first aid training

7 Ability to handle stress and problem solve

8 Ability to keep confidential and sensitive information.

9 High School Graduate

10 ECE 12 Units
Highly Desired: Administrative Classes I (Early Care and Education Administration)

11 Maintain at least 20 professional growth hours annually, to be paid by Mt. Calvary when applicable
