Work ShiftJob DescriptionThe OB/GYN Department is seeking a candidate to provide administrative support to the physicians in the department of Obstetrics and Gynecology.
Job Responsibilities
  • Responsible for building and maintaining all rules and exceptions for the MFM division’s clinical calendar within Qgenda. Coordinates the addition of all new assignments, faculty, and fellows’ schedules quarterly. Uses software to create new calendars (including MFM fellows) to ensure coverage of all clinical responsibilities for the division each month while protecting other commitments of faculty and fellows. Wherever possible, distributes work assignments evenly based on providers' clinical FTE and type of assignment. Manages any clinic cancellations for the MFM division and fellows. Works collaboratively with the MFM Division Director, Education Director and Program Manager to ensure that the daily schedule, call schedule, and schedules for outreach sites are covered and makes recommendations when adequate coverage is not available. Communicates when final schedules and any schedule changes are available in Qgenda to faculty members, residents, and staff at all facilities involved. 35%
  • Responsible for organizing and helping faculty with academic related work, making travel arrangements, CV maintenance and Interfolio updates, dictation, obtaining articles, preparing and editing presentations as directed, assisting the HR Coordinator with physicians credentialing process and following-up on license renewals. 20%
  • Provide administrative support to the department Physicians including the department Division Heads. Manages faculty outlook inboxes for physicians as requested. This includes scheduling academic appointments or meetings, maintaining schedules and outlook calendars, and updating SimonWeb. 15%
  • Maintaining scheduled meetings and taking and distributing minutes as needed, answering telephones, checking and distributing mail, etc. Must work collaboratively with other administrative staff within the department and the institution to provide optimal customer service to internal and external customers. 10%
  • Provides backup for all Qgenda faculty away requests and Clinic Cancellation process. Provides backup outpatient clinic scheduling for clinic cancellations occurring less than 30 days. 5%
  • All other duties as required to see the department functions in its endeavor to promote Women’s Health, MUSC, and MUSCP goals. Abides by MUSCP and MUSC policies and procedures, as well as local, state, and federal regulations. 5%
  • Responsible for preparing all travel reimbursements for all faculty in the department. Ensures all forms are complete and include all required documentation for processing. Turns in all forms to Fiscal Analyst for processing within 1-2 days of receipt of all documentation. 5%
  • Will serve as backup for clinical operations and patient coordination including rescheduling patient appointments in EPIC, assisting with patient inquiries, clinic cancellations, and surgery scheduling coordination. 5%
Minimum RequirementsA high school diploma and four years relevant experience in business management, public administration or administrative services; or a bachelor's degree and two years experience in business management, public administration or administrative services.Knowledge, Skills, And AbilitiesKnowledge of agency policies, procedures, rules, regulations, and program services.
