Work ShiftJob DescriptionJob Summary: The Dental Faculty Practice Clinic Manager reports directly to the Director of Dental Faculty Practice. In conjunction with the department Business Manager, assists with the management of departmental financial resources and human resource functions. This position coordinates and manages the scheduling for all patients and providers. Oversees and manages the procurement of supplies for the Dental Faculty Practice.
Pay band/Salary Range: UNIV 6: $43,030.00 - $61,323.00 - $79,616.00
Job Duties25%: Supervises Dental Faculty Practice clinical and administrative staff. Responsible for all scheduling in Clinic as well as the on‐call schedule for DFP providers. Ensures each physician has necessary clinical staff for their scheduled days. Ensures clinical staff receive appropriate training and follow policies and procedures as they relate to patient care. Oversee and coordinate the usage of Overflow Rooms for scheduling emergencies and make‐up days for providers. Organizes Weekly Lab Schedule for Dental Assistants. Obtain and approve all leave request forms, time entry corrections, and bi-weekly time sheets. This position also manages the staff time and attendance and is responsible for advance approval and monitoring of compensatory time and/or overtime to ensure optimal efficiency in accordance with all University and College policies and procedures.
25%: Manages the day-to-day operations of the DFP clinic. Collaborates with Business Manager to maintain and update the operating budget. Responsible for working with the Director to meet the goals and objectives for both revenues and expenses. Responsible for the ensuring the accuracy of daily clinic bank deposits to include compliance with all University Polices which includes cash, checks and credit card payments. Monitor and optimize departmental billing, collections, and charge lag in cooperation with the CDM Billing office. Analyzes practice expenses and staffing rotations to ensure effectiveness and efficiency.
25%: Manages correct use of the Electronic Health Record (EHR) systems for the Clinic. To include the following, but not limited to: Admissions (demographics, guarantor information, medical/dental insurance information), Clinical (medical histories, charting existing treatment, planning treatment, obtain consent forms), Appointments (scheduling, filling any vacancies, confirming, canceling), scheduling, and collections (posting and allocating all patient payments in conjunction with the billing office). Ensures patients receive consultation for treatment plans, fees and financial arrangements.
15%: Responsible for hiring DFP staff: dental assistants, dental hygienists and administrative staff. With input from providers, is responsible for annual performance evaluations of all direct reports in compliance with all university and college policies and procedures. Responsible for organizing and providing appropriate Electronic Health Record training for new and existing staff. Serves as communications liaison between clinical staff and faculty. Collaborates with Business Manager on Human Resources related issues for the staff. Reports to and performs other duties as assigned by department chair.
10%: Oversees the management of inventory. Facilitates major equipment purchases with department’s Business Manager. Responsible for oversight of shipping, tracking and receiving all lab cases. Responsible for oversight of training all employees on Tramedic Kit protocol. Oversees the monitoring of Monthly Inspection Report to ensure compliance all pharmaceuticals and dental materials are current. With the department’s Business Manager, develops and maintains clinical policies and procedures for the department. Responsible for tracking assets annually through Assets Management (AIM).Additional duties as needed and instructed by department chair.
