Manages smaller supply and service requests under $25,000 including facilitating SYMPR Legal review of contracts, terms/conditions and documents requiring signatures. Review of contract and off-contract invoices for accuracy and external charges. Assignment of work orders in Facility Management software system. Entering of requisitions, performance of credit apps, new vendor set ups and obtaining certificates of insurance for on-campus services. Serves as back-up for emergency relates purchases and Contract Manager II functions when employee is absent.

Job Responsibilities30% - Contract Management: Effectively manage portfolio of contracts assigned. Ensure performance, payment and issues are timely resolved. Serves as departments secondary point of contract for new contracts and solicitations. Assist supervisor with creation of new and replacement contracts. Perform work in department’s CMMS software, AiM, opening and closing work orders related to work performed.
30% - Contract Development / Submissions to Legal Department / Requisitions: Responsible for assisting in development, submission and processing of any documents that contain terms, conditions, or signatures (quotes, contracts, vendor applications, credit applications, etc.) through University and MUHA contracts/legal department software (SYMPR). Follow different processes and rules established by University and MUHA legal departments for submission of documents associated to each company. Serves as departments primary point of contact with University and MUHA Legal departments. Communications to key staff on the status of these documents as they flow thru the various systems.
15% - Vendor Performance: Manage vendor performance for all assigned contracts and non-contracts to ensure work is performed in compliance to terms and conditions of contract. Document performance issues and work to resolve performance issues and disputes timely. Ensure vendors are paid timely. Hold annual meetings with critical vendors to review performance and provide guidance on improvements by either party.
15% - Maintains department's active contract list to ensure data is accurate. Responsible for tracking and reporting contract related KPI's. Notifies department staff when contracts are to expire and begin facilitating actions to rebid expiring contracts assigned to this role under guidance of Contract Manager II role. Facilitates routine communications between all internal and external stakeholders to address issues, review performance and compliance with the contract terms and conditions, and for new projects.
5% - Emergency Purchases: Serve as backup to perform emergency related orders when Contract Manager II is out. Responsible for coordinating emergency purchase process and related orders for emergency events that cannot be handled in the regular order workflow. Work closely with department leadership and University procurement on these time sensitive events and ensure all proper steps are followed.
5% - Perform other duties as requested.
