Primary Function:
The job of Central Registration Specialist is done for the purpose/s of working under two distinct and main functions. In the first capacity the incumbent is the school district's Registrar and is responsible for enrolling all new students in the district, verifying residency and, guardianship, entering all records and information into the district's database. The second capacity providing clerical duties to support assigned administrative personnel at the supervisory level. This class consists of positions serving as the principal office support for supervisory staff at the department level or equivalent; communicating information to staff, students, the public, and other districts; ensuring compliance with financial, legal and administrative requirements; and providing information and/or direction.

This job is distinguished from similar jobs by the following characteristics: The duties listed are typical

examples of the work performed in this job classification. All duties may not be performed in every central

office.


REQUIREMENTS:

1. Educational Level:

High School Diploma/GED

2. Experience:

Minimum one year of experience or equivalent technical/business certificate is preferred; Knowledge based testing for the required job skills may be requested

3. Physical Activities:

Routine physical activities that are required to fulfill job responsibilities

4. Knowledge, Skills, & Abilities:

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: basic office equipment, basic office skills, business telephone etiquette, concepts of grammar and punctuation and basic computer knowledge including Excel and Word.

SKILLS are required to perform single, technical tasks using existing skills. Specific skill based competencies required to satisfactorily perform the functions of the job include: keyboard skills, data entry experience, preparing and maintaining accurate records.

ABILITY is required to schedule activities; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a diversity of

individuals and/or groups; work with a variety of data; and utilize specific, job-related equipment. Problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific ability based competencies required to

satisfactorily perform the functions of the job include: adapting to changing work priorities, being organized, maintaining confidentiality, meeting deadlines and schedules, ability to lift office supplies.


ESSENTIAL DUTIES:

1.

Demonstrates prompt and regular attendance.

2.

Answers inquiries regarding programs and services (e.g. explaining requirements and assisting callers/visitors in completing forms or other actions or directing to the appropriate resource in regards to student enrollment in the District, etc.) for the purpose of ensuring excellent customer service.

3.

Assists with the training of school personnel regarding Online Registration and all things concerning enrollment for the purpose of providing school staff with the tools to assist parents with the enrollment and verifications processes of the district.

4.

Compiles data from a variety of sources (e.g. work orders, specialized reports, etc.) for the purpose of completing activities and/or delivering services in a timely fashion.

5.

Conducts registration of new and returning students to the District by receiving and reviewing Online Registration and enrollment information and verifies residency, guardianship, student medical records, birth certificates, transcripts, etc. May have to complete records requests for special circumstances for the purpose of ensuring continuous student enrollment and eligibility of services for students residents of the district.

6.

Covers for General Reception and receives complaints in the absence of the individuals of these areas for the purpose of ensuring customer service is provided at all times to district parents and stakeholders.

7.

Enters all enrollment information into the District's database, maintains copies and files and refers materials to appropriate staff, i.e. medical records to the nurse, IEPs to Student Services/Guidance etc. for the purpose of ensuring all services required for the students are met.

8.

Evaluates Impact Aid forms for Federal Funding and Out-of-County transfers (tuition payments) for the purpose of receiving funds for the students whose parents serve in the military or on federal property, and those who live out of the district.

9.

Maintains inventories of supplies and materials for the purpose of ensuring items availability.

10.

May create files of renters within the District and verifies renewal of leases and affidavits of residency to ensure continued enrollment in the District for the purpose of ensuring legal residency in the district and school zones.

11.

Performs record keeping and data entry (confidential and non-confidential) and general and program specific clerical and administrative functions (e.g. scheduling, copying, faxing, etc.) for the purpose of supporting assigned administrator and/or site with procedure compliance.

12.

Prepares and evaluates information and situations (e.g. involving schools, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution of student school placement.

13.

Prepares and maintains written and electronic materials/documents following established procedures for creating files, purging files, and storing files (e.g. reports, memos, letters, student registration, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.

14.

Processes a variety of documents from rough draft copy, verbal instructions, and brief notes (e.g. letters, memos, reports, evaluations, bid documents, announcements, etc.) for the purpose of disseminating information to appropriate parties.

15.

Processes the different types of school assignments for the students of the district (magnet, hardship, administrative, alternative, etc.) in addition to school zone assignments for the purpose of ensuring proper school placement into special programs.

16.

Refers unresolved issues of residency to the appropriate authority and/or investigators, as directed for the purpose of verification of residency within the district is legit.

17.

Responds to inquiries from internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.

18.

Responsible for assigning pseudo numbers for students that do not have a social security number for the purpose of ensuring all students can obtain a GTID number required by the state.

19.

Uses computer applications such as spreadsheets, word processing, calendar, e-mail and database software in performing work assignments for the purpose of providing reports, notifications, scheduling and processing of student information.

20.

Performs other related duties, as assigned, for the purpose of ensuring the efficient, effective functioning of the work unit.
