Role Summary

The Museum of Sex seeks an experienced and highly organized Project Manager to oversee the planning, logistics, and implementation of an ever-evolving curatorial program of loans and exhibitions. The Exhibitions & Curatorial Project Manager reports to the Chief Curator and works closely with the entire Curatorial Team. The Manager will also work with other internal departments such as Accounting, Marketing, Building and Operations, and Retail and with external lenders, contracted art handling staff, and other suppliers to coordinate the smooth development and installation of exhibitions. 

The Manager is a detail-oriented, energetic, strategic problem-solver, and an excellent communicator. They are adept at prioritizing and managing deadlines and multiple projects simultaneously. They work with a range of personalities and stakeholders at one time, and they have excellent project management skills. The Manager must have strong written and verbal skills, an attention to detail, careful planning, and process-based work abilities. Previous experience working in a fast-paced museum or lending-institution is strongly preferred.

The Exhibitions & Curatorial Project Manager’s primary responsibilities fall into three main categories: Registrar work, Administrative and Curatorial support, and Collections Management, as detailed below.

Primary Job Responsibilities

  • Coordinating loan letters and loan forms, corresponding with lenders, completing condition reports, sending out certificates of insurance, maintaining lender correspondence and loan agreement compliance, and maintaining exhibition files. 

  • Manages insurance paperwork for all incoming loans, including obtaining COIs. 

  • Responsible for overseeing all incoming and return coordination, including condition reports. 

  • Hires, schedules, manages contractual art handlers, contractors, consultants, and supervises exhibition crews, for installations and de-installations. 

  • Responsible for working with local, national, and international shippers and lenders to coordinate pick up and deliveries for exhibitions and returns, including artworks and transport equipment specific to each exhibition or commission. 

  • Creates and monitors exhibition and production schedules to ensure deadlines are met. 

  • Drafts and manages the administration of exhibition agreements and contracts with artists, guest curators, vendors, consultants, and other individuals providing professional services. 

  • Provides onsite assistance to curators throughout the installation and deinstallation periods. 

  • Monitors activity during installations and troubleshoots any problems that arise during an exhibition installation, alerting the Chief Curator to any significant issues. 

  • Acts as a liaison to other Museum departments, artists, artist studios, and occasionally other external partners, to ensure consistent and timely communication on all project matters. 

  • Coordinates and manages a roster of projects and exhibitions from initial stages to de-installation with complex deadlines and collaborates with colleagues to ensure that all project schedules work in tandem. 

  • Develops and tracks schedules and budgets for multiple exhibitions and projects, including acquiring competitive estimates from vendors. Monitor actuals versus projected budgets to ensure that expenses stay within budget, or flag overages on a timely basis. 

  • Coordinates installation photography and its distribution to appropriate internal and external parties; also assesses conditions of incoming artwork. 

  • Schedules all messaging and installation team meetings and regular check-ins related to the implementation of exhibitions. 

  • Conducts regular gallery inspections and maintenance of works during exhibition runs. 

  • Oversees and prioritizes the safety of workers and art. 

  • Manages database entry and manages condition reports and files. 

  • Perform additional duties as required.

Qualifications 

  • Experience working with artists, fabricators, shippers, and art installers; knowledge of art fabrication methods and processes. 

  • Ability to work flexible hours, including evenings and weekends during installation. 

  • Familiarity with Cisco Meraki sensors or other temperature/humidity sensor systems and familiarity with collecting and sharing data. 

  • Understanding of audio-visual equipment and installation, including creating and working with various types of media files for exhibitions. 

  • Comfortable navigating off-site storage facilities, including the facility at Mana Fine Arts in NJ. 

  • Minimum of two years of experience in project management within a museum or gallery setting. 

  • MA in Art History, Curatorial or Museum Studies or equivalent experience strongly preferred. 

  • Ability to multitask in the preparation of at least three ongoing exhibitions and projects at once. 

  • Strong attention to detail and sharp organizational skills. 

  • Ability to work independently. 

  • Knowledge ofMS Word, Excel, Google Suite and Adobe Suite. 

  • Existing relationships with art transporters, shippers, fabricators and other vendors are a plus. 

  • Familiarity with Past Perfect or other collection management software. 

  • Works well on deadlines. 

  • Works well in a fast-paced environment. 

  • Enjoys working with a team, while being capable of prioritizing and self-supervising when necessary.
