SUMMARY:

MV Ventures is seeking a passionate, motivated, and reliable individual to serve as the Community Manager for our Viking Lakes Residences community, located in Eagan, MN. Currently offering 483 market rate Class A luxury apartment homes spread across four buildings, plus a main Clubhouse. A true resort-style community, you will find a robust amenity package featuring an indoor pool and hot tub, sauna, bowling alley, sports simulator, mini markets, club rooms, and extensive outdoor spaces including outdoor pool and hot tub, basketball, pickleball, tennis, volleyball and shuffleboard courts, putting green, hammock grove, playground, pet areas, and campus trail system.

The Community Manager is responsible for the overall performance of their respective community. They are involved in all aspects of property operations including staff management, budgets and financials, leasing and maintenance and activities, and resident relations. They are responsible for the development and execution of site operational plans in accordance with the community’s financial objectives. The Community Manager is responsible for training all onsite management and leasing positions and working closely with their team and leadership to support the community goals and promote resident satisfaction. The Community Manager will control cost, maximize revenue, increase resident retention, develop relationships with vendors and contractors, and implement a competitive marketing strategy, as well as ensure implementation and execution of all corporate policies and procedures.


ESSENTIAL FUNCTIONS:

Property Management

  • Collaborate with leadership and operations to successfully operate the community.
  • Collaborate with construction teams on future development and current property needs.
  • Work with operations team to develop new SOPs, policies, standards, and culture.
  • Oversee the day-to-day operations of the property, including management responsibilities of the management and leasing teams.
  • Host regular property team meetings, individual team member 1:1’s and team collaboration efforts.
  • Work in partnership with maintenance management to oversee maintenance and custodial personnel.
  • Oversee physical condition and appearance of property by conducting frequent inspections; determine where and when improvements are needed; execute within approved budget allocation.
  • Conduct regular market research on comparable properties to understand techniques and best practices.
  • Present property to prospective residents; greets prospects, gathers information, demonstrates features and benefits within the community and apartments shown.
  • Review new lease applications for move-ins in a fair and consistent manner, in accordance with Fair Housing requirements and company policies and procedures.
  • Oversee resident move-in and ensure residents are set up with all services provided by the property.
  • Prepare and maintain all resident files in accordance with company policies and procedures.
  • Manage resident move-out processing, coordinates unit restoration with maintenance staff.
  • Operate property management software systems in accordance with company policies and procedures.
  • Promote and market property across all platforms, including print, website, and social media in accordance with company policies and procedures.
  • Manage security and access control system, including keys, card readers and cameras, and ensure activity logs are kept/hardware inspected periodically.
  • Responsible for the distribution and management of keys and remote parking controls for team members, residents, and retail tenants on property.
  • Involved with the recruiting and hiring process for new team members at the property.
  • Responsible for new team member onboarding while ensuring they have a thorough understanding of and are compliant in company policies and procedures.
  • Ensure all team members’ hours, time off, etc. are reported correctly and in a timely manner.
  • Coordinate schedules of all team members, including weekends, holidays, vacations, and sick leave.
  • Ensure all work-related injuries or property accidents are reported correctly and in a timely manner.
  • Establish and maintain professional relationships with all property retail tenants.
  • Effectively manage all retail spaces and their respective tenants, either occupied or unoccupied, to ensure property policies and procedures are being followed.
  • Ensures compliance with all state, federal and local housing laws. Regularly refreshing training.
  • Work in partnership with maintenance personnel on annual capital expenditure planning and quotes.

Leasing

  • Manage the leasing team to ensure accountability and progress towards leasing goals.
  • Obtain completed application and income verification forms on all leases; takes deposit and associated fees; processes applications in accordance with policies and procedures.
  • Implement comprehensive marketing strategy to meet predetermined vacancy standards.
  • Administer lease renewal program for property in accordance with company policies and procedures.
  • Ensure model and vacant units are presentable in accordance with established standards.
  • Conduct periodic safety and security meetings with team members.
  • Create regular company reporting reports with current property standings and leasing feedback.

Resident Relations

  • Establish and maintain a safe, positive, and fun culture for residents.
  • Design and implement resident retention programs in accordance with company goals.
  • Respond promptly and responsibly to resident requests.
  • Plan and coordinate on-site resident activities in collaboration with property teams.
  • Prepare periodic professional property newsletters, notices, and resident communications.
  • Manage resident complaints in a professional and courteous manner.

Leadership

  • Establish a culture among the team that aligns with the beliefs and values of the organization.
  • Provide excellent customer service to prospective and current residents, tenants, team members, management, and ownership.
  • Develop and maintain effective, professional relationships with vendors, local businesses, and community leaders.
  • Provide continual feedback and guidance to all team members, including conducting annual performance reviews.
  • Complete the job responsibilities of other team members at the property in absence of appropriate staffing.

Financial

  • Review, process and properly code operating invoices.
  • Conduct resident follow up for late payments in accordance with company policies and procedures.
  • Process weekly and regular reports on lease expirations, rent increases and budget tracking.


QUALIFICATIONS:

EXPERIENCE AND EDUCATION:

  • 3-5 years’ experience in residential multi-family property management required. Previous Community Manager experience strongly preferred.
  • Luxury property and local market (Minneapolis-St. Paul) knowledge strongly preferred.
  • Degree or certifications in real estate, property management or related field preferred.


SKILLS AND ABILITIES:

  • Effectively communicate (orally and written) in a professional manner on a regular basis with team members, management, prospective residents, current residents, tenants, and vendors.
  • Basic knowledge of current computer software including the Microsoft Office suite, required.
  • Background in property management software platforms, including Yardi, Onsite, MRI, Livly, or similar property management platforms required.

PHYSICAL DEMANDS:

  • Must be able to lift, push, pull and/or move up to 30 lbs.
  • Approximately 60% of time will be spent working in office conditions and 40% moving around the community for various tasks.
  • Regularly performs computer work and operates office equipment.
