Role Purpose
The Project Coordinator Moves reports to the Senior Facilities Manager. His/her main function is to coordinate the logistics of people/desks movements within the organization with detailed planning and flawless execution. He/ She works in coordination with / support from the Space Planner through agreed process and procedure.
What This Job Involves Moves, Adds, Changes
  • Coordinate the relocation of the client to a major location by managing people/ space data and third-party vendors for execution.
  • Manage and plan general people/desks moves (from individual to medium and large displacements).
  • Manage assets - addition/removal/ordering of furniture and special equipment.
  • Coordinate and track all occupancy changes (desk swap, office layout changes), permanently maintain precise records.
  • Assign desks for new hires in close liaison with relevant partner teams.
  • Compile specific and accurate statistics as well as monthly reports.
  • Communicate clearly and professionally with business stakeholders; handle general internal queries, clarify concerns and identify solutions.
  • Organize, schedule and monitor own work transparently so that Building Operations Coordinator/Office Services Coordinator can easily provide support.
  • Handle Move/ Space related Trouble Tickets promptly and accurately, provide timely responses and manage overall traffic.
  • Manage local key suppliers providing us with frequent support.
  • Prepare for/attend the regular Move Project meetings.
  • Maintain discretion and confidentiality with regards to all discussed plans and dealings.
  • Ensure accurate and detailed hand over is planned & passed on (for tasks for which being responsible), if absent from the business.
  • All other tasks/duties as required

  • Ability to read and analyze drawings, plans, schedules, schematics
  • Basic skills in the use of AutoCAD or similar tool is desirable for floor plan updates
  • Ability to handle difficult personalities and complex situations
  • Awareness of health and safety
  • Excellent written & verbal communication skills
  • Proficient with the use of Microsoft Office tools
