POSITION TITLE:  Program Specialist, Chief Strategy Office (Multiple Departments)
LOCATION: HQ Baltimore, MD

POSITION SUMMARY 

The NAACP is seeking a highly organized, effective, and articulate Program Specialist to represent the Chief Strategy Office of the NAACP. The Program Specialist role will report directly to the Grants Services Manager, but will be aligned to one or multiple departments and initiatives within the Chief Strategy Office, including ACT SO, Education Innovation, Environmental and Climate Justice, Health and Wellbeing, Inclusive Economy, NEXTGEN, Race and Justice, Youth and College, Learning and Impact, Washington Bureau, Grants Services, and/or Chief Strategy Office. The Program Specialist is responsible for working collaboratively with Directors and other department leads to proactively support strategic initiatives and the Chief Strategy Office. Travel for this position is limited and varies according to work assignments. 

 RESPONSIBILITIES/DUTIES

  • Respond to, direct and anticipate requests while providing fast, accurate and thoughtful replies to requests and ensuring follow up on action items;
  • Provide senior-level administrative support including reviewing and routing correspondence, drafting letters and documents, collecting and analyzing information as needed, contacting management, and processing expenses; 
  • Assist Directors to prepare for meetings by creating outlines, high-level presentations, and any other documentation required on an ongoing basis;
  • Manage the Directors’ time with a high level of efficiency and accuracy, including extensive scheduling and calendar management and coordination of complex meetings with multiple participants and locations;
  • Create and modify travel itineraries accurately. Inform and plan actions based on travel itineraries of appropriate parties;
  • Coordinate with other departments in the organization to support the Directors with Employee Services, IT, Grant Services and any other infrastructure groups necessary to successfully perform their work;
  • Actively build relationships to promote a leader-driven organization and maintain a close and highly responsive partnership with teams across the national office;
  • Coordinates work across internal teams while advancing a smooth and transparent process of information exchange between teams;
  • Manage meeting logistics, conference rooms, AV equipment, displaying presentations, etc.;
  • Prepare and process expense reports, vendor invoicing paperwork, and purchase requisitions, including monthly expense reconciliation and on-demand expense reports;
  • Work closely with a Program Specialist cohort to facilitate learning, conduct forward planning and act as advisor on NAACP administrative procedures and policy;
  • Support other teams within the Chief Strategy Office, as needed; and
  • Work on special projects and events as directed by the Chief Strategy Officer.

QUALIFICATIONS

Education/Professional Experience

  • Bachelor’s degree in Business Administration or a related field preferred;
  • Minimum of 5 years of executive-level administrative experience supporting an executive leader, or, at least 5 years of experience supporting high performing programs in a complex environment;
  • Experience in a fast-paced highly dynamic, evolving organization and work environment in a national or nonprofit organization; 
  • Strong execution and organization skills and demonstrated experience in prioritizing and executing multiple priorities seamlessly with excellent attention to detail;
  • Superior analytic and strategic skills in written and oral communications; ability to summarize and synthesize complex ideas in a clear manner;
  • Demonstrated ability to effectively work both independently, as well as, in a team-oriented, collaborative and collegial environment; and
  • Proficiency in Microsoft Word, Excel, and PowerPoint. Prior Salesforce or similar CRM experience preferred.
