Nashua Ambulatory Surgical Center (NASC) is Hiring a Receptionist/Administrative Assistant Near Nashua, NH

Ambulatory Surgery Center in Nashua looking for a reliable and detail oriented Receptionist / Administrative Assistant!

Our center has an excellent culture with positive leadership! We understand the importance of work-life balance. This position reports to our Business Office Manager and Nurse Administrator. Our facility is surgeon owned and has no hospital affiliation. We are open Monday through Friday and are closed holidays and weekends!

Job Summary:

Responsible for greeting patients and assist with necessary admitting paperwork. Provides a warm, comfortable atmosphere for patients and visitors. Works with all the physicians and staff to ensure smooth patient transitions and assist in the daily operation of NASC.

Duties and Responsibilities:

1. Daily Responsibilities

a. Primarily responsible for opening the facility with flexibility to close if needed

b. Greet and register the patients

c. Answer multi-line telephone and call routing

d. Collect co-pays and prepares patient receipts, as needed. Notify Billing of self-pay patients

e. Copy current patients’ insurance cards and face sheets for billing, pathology and anesthesia

f. Check patient ID by copying driver’s license or other forms of ID

g. Liaison between patient families and patient care areas

h. Prepare new charts with all necessary forms.

i. Prepare patient labels.

j. Ensures that every chart form in every patient record has a label of complete information.

k. Pull old charts if there are previous visits

l. Maintain and file medical record charts, and process medical record requests

m. Update patient accounts with prior authorizations received

n. Maintain neatness and cleanliness of the waiting room.

o. Print out schedule for current date and email next day schedule to appropriate audience

p. Coordinate with Anesthesia for the proper coverage of cases

q. Sort and distribute daily mail and faxes

r. Schedule surgical bookings

s. Notify appropriate staff within 24-72 hours of changes in surgical schedule

t. Copy and make HIPAA information and Patient rights available to patients

u. Collect and forward Patient Satisfaction Surveys to the Administrator/Director of Nursing

v. Handling of laboratory specimens and reports

w. Cross covering for staff vacations/leave

x. Maintain copiers

y. All other duties as assigned

z. Keep work area neat and clean

2. Materials Control/ Financial Awareness:

a. Demonstrates knowledge of the Center’s budget endeavoring to reduce waste and ensure cost containment.

b. Maintains a professional and ethical relationship with patients and physician offices.

3. Computer Systems:

a. Demonstrates knowledge and skill understanding and using the Center’s computer system for documentation, charging, list reports and inventory. Participates in training classes as needed.

b. Maintains confidentiality of all information and the medical record and assigned computer codes.

4. Communication:

a. Maintains open collaborative dialogue with all center staff, physicians, their offices and, families and insurance carriers.

b. Regularly attends staff meetings, orientations and in-services. Serves on assigned committees.

c. Reports promptly and accurately all significant events and problems to the Site Coordinator.

d. Able to accept constructive criticism and initiate appropriate action to correct the situation.

e. Utilize self-evaluation process for professional and personal growth

5. Professionalism:

a. Becomes involved with research, new equipment and procedures for the center.

b. Maintains and ensures dress and decorum. Prominently wears names identification badge at all times. Introduces self to patients and family members.

c. Promotes good image of Center to patients, patient family members, vendors, and community.

d. Demonstrates professional behavior by being technically competent, skilled and responsive to the Center’s customers in a compassionate, efficient and effective manner.

e. Maintains competencies identified by the Center including but not limited to mandatory education, equipment and skill competency review lists. Makes self-knowledgeable as to the contents of the Center’s policy and procedure manual.

f. Maintains the confidentiality of patients, significant others and fellow employees.

6. Miscellaneous:

a. Actively communicate and supports the organization’s mission, values, ethics, philosophy, objectives and policies and procedures.

b. Demonstrates the understanding of how the success of the surgery center is linked to the success or failure of the customer process.

c. Maintains confidentiality, safety and security in all aspects of job role. Applies HIPAA requirements.

d. Demonstrates intermediate to advanced technical knowledge and competency for all equipment, facilitates service necessary.

e. Demonstrates safe habits in the work place with a concern for safety of patients, families, and staff. Maintains current knowledge of the center’s emergency preparedness protocols and procedures. Applies OSHA standards.

f. Contributes to the effectiveness of the center by remaining within the acceptable standard of the center attendance and tardiness policies. Is present at workstation and prepared to work at the start of the assigned shift. Does not extend breaks or takes unexplained absences from the work area.

g. Personal phone calls and other personal matters are attended to during a break.

h. Assists site coordinator as needed.

Education and Experience:

1. High school graduate or GED

2. Previous medical office experience and/or knowledge of medical terminology

3. Good typing skills

4. Good communication skills

5. Good computer skills

6. Strong ethical and moral character references

7. Medical Receptionist experience preferred

Physical/Mental Requirements

1. Ability to sit/stand for a considerable amount of time; ability to walk.

2. Visual and auditory acuity for frequent use of computer, telephone, and occasional use of other office equipment.

3. Ability to perform occasional overhead and low reaching.

4. Physical strength required for equipment needs and patient-care activities.

5. Visual and auditory acuity for timely responsiveness and patient-care assessment activities.

6. Ability to move quickly in response to center needs.

7. Constant and frequent judgment and response.

8. Occasional judgment and response to disasters or emergencies, actual events, or drills.

Working Conditions (Environmental)

1. Well-lit and ventilated, with non-hazardous and hazardous equipment.

2. Category III: involves occupational exposure to blood and other potentially infectious body fluids and materials.
