Job description

We are seeking a full-time Medical office assistant to work for our fast paced podiatry office. Our ideal candidate is someone that is friendly, a quick learner, and has good communication skills. Previous experience with electronic medical records or any computer skills is preferred. Applicants will be working in our Livonia office

Responsibilities include (but may not be limited to):

Resolves routine patient billing inquires and problems efficiently and accurately in a professional manner. Performs insurance verification of the patients account against insurance program specifications. Ensures accuracy of data input when entering data into the appointment book and EHR

DUTIES AND RESPONSIBILITIES:

  • Welcomes patients and visitors by greeting patients and visitors, in person or on the telephone; answering or referring inquiries. (Must be friendly, patient and smile!)
  • Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
  • With general oversight follow our current polices and procedures and responds to administrative directives. Maintains strictest confidentiality in accordance to policies and HIPAA guidelines.
  • Answers the telephone, directs calls appropriately when necessary and records accurate notes in the patients chart. Assist patients in resolving problems and is responsible for following up with the patient until their issue is resolved. Relays messages and information to the appropriate individual and responds to further inquires.
  • Verify account balance, insurance and patient demographic information is accurate and updates if needed. Verifies insurance information by utilizing insurance websites or calling insurance companies to verify active coverage, deductible, copay and any other specific information needed in accordance to the verification guidelines. Enters the appropriate verification information accurately into EHR.
  • Explains charges and balances to patients upon calls received. All Credit card payments are properly processed and payments are posted and adjusted correctly according our policies.
  • Runs the appropriate reports to determine accounts needing verification. Enters the verification information accurately into the appointment book and EHR template.
  • Corrects or updates any insurance information needed in the patients chart and tasks the contacts contact person and the office of any issues regarding the verification.
  • Performs other related duties and projects as assigned. This job description should not be considered an exhaustive listing of all duties and responsibilities performed in this position.   • Keeps patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays.
  • Comforts patients by anticipating patients' anxieties; answering patients' questions; maintaining the reception area.
  • Ensures availability of treatment information by filing and retrieving patient records.
