Needham Public School District is Hiring a Transportation Secretary Near Needham, MA

Needham Public Schools is an inclusive, dynamic, and multicultural community seeking an energetic, skilled, and warm Transportation Secretary to join our team. To enhance our goals of supporting every child, Needham Public Schools seeks candidates with diverse backgrounds and experiences.

Under the direction of the Director of Transportation, the Secretary will perform secretarial/clerical work to ensure the efficient operations of the department.

The position of Transportation Secretary is established for the purpose of providing secretarial support to the transportation department; monitoring assigned activities;
and providing information, recommendations, and/or direction as may be requested by the Director of Transportation. 

Responsibilities:
To include but not limited to the following:

  • Perform full secretarial and clerical duties of the Transportation Department, assisting the Director of Transportation with the daily operations of the office.
  • Interact with and provide assistance to parents, students, school officials and contractors in the division of transportation services to students.
  • Maintain a wide variety of manual and electronic documents, files, and records for the purpose of providing up-to-date information and/or historical reference.
  • In accordance with established administrative guidelines and legal requirements, including driving/physical records for all drivers and maintenance of vehicles.
  • Protect the confidentiality of records and information about staff, and use discretion when sharing such information within legal confines.
  • Compile data from a variety of sources for the purpose of complying with administrative and legal requirements.
  • Communicate information for the purpose of facilitating the efficient and effective workflow of the department.
  • Input and manage data on the transportation software.
  • Investigate, interpret, and use law, administrative code, and Massachusetts RMV and DESE policies/procedures for pupil transportation.
  • Answer reception phones and record and/or transfer all calls accordingly. 
  • Procures supplies and materials and dispenses as appropriate for the purpose of maintaining the availability of required items. 
  • Participate in appropriate in-service and workshop programs and attend any required meetings.
  • Presents information on administrative procedures for the purpose of orienting new personnel and/or disseminating to existing personnel.
  • Provide assistance in the transportation office in the absence of the Director.
  • Performs other related duties as required.

Skills, Abilities & Knowledge:

  • Ability to maintain confidentiality and handle difficult situations with sensitivity and tact
  • Experience and knowledge in a customer service environment
  • Knowledge of office environments
  • Knowledge and experience with office technology and equipment
  • Skill in written and oral communications
  • Ability to calmly and professionally interact with students, parents, teachers, co-workers, and visitors in a dynamic environment
  • Ability to organize, prioritize work responsibilities, and use time efficiently
  • Ability to describe problems and work orally or in writing to supervisor as required.
  • Ability to understand, apply, and use personal computers and software applications (e.g., Word, Excel, PowerPoint, the Internet, Outlook, electronic mail).
  • Ability to problem-solve job-related issues.
  • Ability to work with a diverse group of individuals.
  • Ability to process paperwork accurately according to standardized procedures.
  • Organizational and time management skills.
  • Knowledge of office management procedures.
  • Transportation and routing knowledge is a plus.
  • 7D and or CDL with passenger and school bus endorsements is a plus.

Qualification Profile:

  • High school diploma. 
  • College-level coursework in business, word processing, and office procedures is preferred.
  • Associate's or Bachelor's degree preferred.
  • Successful experience with office management in related areas preferred.
  • Bi or multilingual (including English) is preferred.

Compensation and Benefits:

Work Schedule: 

12 months per year; 7 hours/day (35 hours per week). The schedule for this position is Monday-Friday, 7:00 am-3:00 pm with a one-hour unpaid lunch break.
