Job Title: Community Dental Patient Registrar
Department: Dental
Reports To: Community Dental Program Manager
Work Type:  Hybrid
Classification: Full-Time, Non-Exempt
Schedule: 9a-5p M-F, with flexibility to work some evenings as needed
Language Differential: Eligible

SUMMARY

This position is responsible for building and managing Community Dental patient charts and schedules within Electronic Health Record (EHR) platforms, as well as completing data entry, pulling data reports, and preparing spreadsheets. Additionally, this role supports various needs in the Community Dental program, such as educating students, facilitating outreach, and promoting dental events.

Essential Job Duties

  • Access insurance portals to identify and verify dental insurance information
  • Build and manage patient charts within the Epic Electronic Health Record (EHR) platform
  • Schedule patient appointments and ensure accurate and up-to-date patient record
  • Perform data entry tasks related to patient information and dental services
  • Pull data reports from EHR systems for analysis and reporting purposes
  • Prepare and maintain spreadsheets to track and manage data
  • Assist in organizing community outreach initiatives to promote dental health awareness
  • Promote sealant and School-Based Health Center (SBHC) services at school events
  • Assist providers with charting and checking patients in during dental events
  • Help set up and operate a hands-on oral health learning lab for the school-based sealant program
  • Educate families and community members about NHC’s Community Dental Program
  • Collaborate with dental and administrative staff to ensure smooth operation of dental services
  • Participate in team meetings and contribute to continuous improvement efforts within the program
  • Maintain punctual, regular, and predictable attendance
  • Perform other duties as assigned

Qualifications


Education and/or Experience

  • High school diploma is required; Associate’s Degree, or equivalent, is preferred
  • Two years of health or dental-related experience and/or training is preferred; or equivalent combination of education and experience may be qualifying
  • Basic knowledge of the Oregon Health Plan is required

Certificates, Licenses & Registrations

  • Active and unencumbered driver’s license is required

Knowledge, Skills, Abilities & Behaviors

  • Fluency in dental terminology preferred
  • Ability to communicate well via phone, email, and face-to-face with professionals
  • Aptitude to learn to navigate multiple insurance portals
  • Ability to work independently, effectively, and professionally
  • Ability to proficiently use EPIC Electronic Health Record and to comprehend and manage documentation in multiple databases
  • Strong data entry skills and attention to detail
  • Ability to comply with HIPAA policies and procedures
  • Ability to problem solve and demonstrate initiative in approaching complex cases.
  • Intermediate or higher proficiency of MS Suite (Word, Excel, Outlook)
  • Demonstrate positive attitude in work duties and interactions with peers, clients, and partners
  • Ability to write reports and business correspondence
  • Ability to effectively present information and respond to questions from managers, peers, patients, and the general public
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
  • Ability to successfully pass a background check, drug screening and DMV check

WORKING CONDITIONS

  • This position is full-time and will work approximately 40 hours each week
  • Occasional evening availability for special or school events may be required
  • This position will require some travel between locations and may require attendance on additional trainings
  • Regularly sit while working on the computer; use hands and fingers to handle, control or feel objects tools or controls; repeat the same movements when entering data; ability to differentiate between colors, shades, and brightness; read from a computer screen for extended periods of time
  • Frequently stand and walk around the office to gather supplies, required to do filing, use office equipment, or collaborate with employees.
  • Occasionally stand, stoop and lift or move objects, equipment and supplies weighing approximately 20-25 pounds up to 40-50 pounds.
  • The noise level in the work environment is usually moderate
