DescriptionOverview:Launched in 1983 as Public Interest Projects, a 501(c)(3) public charity, NEO Philanthropy is a New York based national leader in innovative philanthropic solutions. We lead large-scale collaborative grantmaking funds on a range of social justice issues and develop organization and field-focused capacity building initiatives. NEO offers fiscal sponsorship services to projects and affinity groups working in the social justice arena that do not have 501(c) (3) tax-exempt status. Fiscal sponsorship broadens the funding avenues that a project can pursue, since nonprofit status is required for funding by most foundations, corporations, and government agencies. NEO has also helped all types of donors maximize their resources, support work they could not do on their own and gain access to strategic and cutting-edge advice around issues and philanthropic practice. NEO offers donors a range of ways to work with us – through donor advised funds, pooled funds, specialized grant programs and initiatives. These customized programs allow our donors to minimize their administrative costs to maximize their impact. NEO currently hosts over 60 fiscal and donor sponsored projects.
PositionReporting to the Vice President, Human Resources, the Human Resources Generalist, Operations and Compliance is responsible for providing a high level of generalist support to the HR department. The ideal candidate will be responsible for drafting, documenting, and maintaining HR operational procedures, responding to reporting requests, managing employee data, ensuring compliance in HR-related areas, and supporting various HR functions.
Location: NEO Philanthropy has its headquarters in NYC and members of Human Resources team are based in this office. NEO HQ has a hybrid work remote structure based on job function. It is our expectation that this role will work partially remote, working from the office one day weekly, with additional in-person meetings required 6-8 times per year.
Vaccination RequirementAll NEO staff are required to be vaccinated against COVID-19. Requests for medical and/or religious exemptions from the vaccination requirement will be considered on an individual basis, to the extent required by law.
Responsibilities
  • Draft, document and maintain HR standard operational procedures to capture workflows (for an HR procedural manual), policies and practices for all HR positions work areas.
  • Respond to requests from other departments for org-wide reporting, including alerts and recurring reports (Operations, Fiscal Sponsorship, Donor Services, Finance, HR Managers, Communications, Executive Office)
  • Manage employee demographic data work as needed by Finance and Exec.
  • Manage annual handbook acknowledgements and anti-harassment training; follow up and escalate as necessary.
  • Co-manage the HR inbox and HR_PM Slack channel, responding to and triaging requests for assistance.
  • Maintain compliance with employment posters at NEO’s Central location, and across fiscally and donor-sponsored projects with physical work locations. Post notification to UKG.
  • Assist the VP and Finance with annual worker’s compensation audit.
  • Assist the Sr. HRBP with updating the employee handbook and manager’s supplement, as determined.
  • Act as HR point person for following up on outstanding timesheet submissions, with non-exempt salary and hourly employees; work with the HRBPs to ensure compliance.
  • Maintain HRBP and PM project/portfolio assignments.
  • Maintain NEO states of operations.
  • Partner with the Sr. Talent Manager to ensure employee work authorizations are active; coordinate data-entry and management of the Clear I-9 verification platform.
  • Act as back-up point person to the Sr. Talent Manager for assigned HR systems, including: e-Verify, Clear-I-9, Globalization Partners (GP), and performance evaluation platform; ensure security of platform and perform regular data audits to ensure accuracy of data.
  • Under the guidance of the Sr. Talent Manager, assist with recruitment by posting open positions on NEO's intranet and to external posting locations.
  • In partnership with the Sr. Talent Manager, track and manage the return of annual performance evaluations.
  • Manage states’ unemployment claims portal and partner with HRBPs to ensure timely response to requests for information.
  • Act as back-up to the HR Generalist, Benefits & Systems in representing HR on cross-departmental workgroups and taskforce, including: the OWG, infrastructure workgroup, and knowledge hub taskforce.
  • Support the VP and Deputy Director (DD) in tracking, documenting, and reporting out DEII initiatives across HR work areas.
  • In partnership with the VP, DD, HR team, and relevant NEO Central departments, play lead project manager role in creating and documenting efficient department workflows, processes, and timelines.
  • Lead on and assist with annual HR compliance reporting, including: EEO-1 reporting, Pay Data reporting, and benefit plan non-discrimination reporting.
  • In partnership with other members of the HR team, respond to employment verifications, update the HRIS, and maintain personnel files.
  • Co-lead bi-monthly new employee orientation, and other HR related trainings as related to responsibilities.
  • Perform other related responsibilities and projects as assigned by supervisor and/or Deputy Director.
Desired Qualifications
  • Three to five years HR or related experience.
  • Experience working in a multi-location organization, strongly preferred.
  • Excellent communication and interpersonal skills, ethics, and cultural awareness.
  • Aptitude for problem-solving and thorough knowledge of HR procedures and policies.
  • Demonstrated ability to work independently and be self-directed in completion of daily responsibilities and projects.
  • Demonstrated technology skills including, Microsoft Office Suite - PowerPoint, Word, Excel, and Outlook; experience working with HRIS, handbook builder, and Canva a plus.
  • Resourceful mindset and strong attention to detail.
  • Knowledge of national laws and regulations related to employment.
  • Experience in creating internal workflows and organizational processes.
  • Strong relationship and project management skills.
  • Ability to analyze / synthesize large amounts of information and present findings to audiences in a succinct and concise way.
  • Ability to comprehend, interpret, and apply the appropriate sections of applicable laws, guidelines, regulations, ordinances, and policies.
  • Ability to work collaboratively and manage competing priorities with multiple deadlines.
  • S. in HR or related field a plus.
  • SHRM or HRCI certification a plus.
CompensationCompensation for this role will vary depending on the experience of the candidate. The salary range for this position is $70,000 - $75,500 per year.
