New Summit Rehabilitation and Healthcare is Hiring an Activities - Front Desk Coordinator Near Arlington, IL

**Job Overview:** We are seeking a detail-oriented and organized Activities - Front Desk Coordinator to join our team. The ideal candidate will be responsible to plan and implement the community activities calendar, as well as receptionist duties. **Hours: 11:30 AM - 8:00 PM **Administrative Duties:** Assist in maintaining a calendar of facility events for guests and residents - Coordinating with Activities Committee for event schedules, creating flyers, and assisting with tracking funds for activity department - Administering surveys to learn about what events might be popular in the future - Responsible for the daily preparation of materials and supplies needed for the day’s programs and for informing the Administrator of supplies that need to be acquired for upcoming programs - Contacting each new resident and familiarizing them with the activity opportunities available to them - Complete Activity Interview for Daily and Activity Preferences for all residents - Coordinate with MDS department to ensure activity assessments are signed and submitted timely - Prepare agendas and make arrangements such as coordinating catering for luncheons as well as committee, board and other meetings as directed by the Administrator - Arrange for meetings, conferences, arrange meeting space, assist with the production of materials and coordinate calendars, staff schedules, speakers, etc., as directed by the Administrator - Assist the Activity Committee in planning, developing, organizing, implementing and directing the day-to- day functions of the facility, its programs and activities - Assist in establishing written facility policies that govern the resident’s right to quality of life and quality of care - Promote social engagement through a meaningful program of activities designed for individuals with memory impairment - Ensure that public information (policy manuals, marketing materials, etc.) describing the services provided in the facility is accurate and fully descriptive; update public data binder and schedule of fees as appropriate - Coordinate the facility’s services and activities with department directors as necessary - Assist the Director of Business Development as needed including the routing and processing of media contacts, responses to media requests, submission of articles and editorials as appropriate - Prepare and process correspondence for the Administrator including internal and external letters and correspondence with residents and family members (i.e., transfer/discharge notices, etc.) - Assist the Administrator in processing resident complaints, documenting complaints for trending and resolving issues independently as appropriate - Provide tours of the building to scheduled guests and/or walk-ins - Interpret the facility’s policies and procedures to employees, residents, family members, visitors, government agencies, etc., as appropriate - Answer phone calls and direct calls to appropriate parties or take messages as appropriate; provide screening of calls as directed by the Administrator - Receive and screen office visitors and telephone calls as necessary - Contribute to the annual facility assessment in collaboration with department supervisors by developing a list of tools, training and resources required to care for the resident population - Greet visitors, ascertain the purpose of the visit and determine whether they should be given access to specific individuals; ensure all visitors are registered in the sign-in log and wear badges - Conduct research, compile data and prepare documents for consideration and presentation by the Administrator or governing body - Open, sort and distribute incoming correspondence including faxes and email; prioritize messages and communication by importance or urgency - Answer telephones, make appointments, run errands, take and deliver messages, etc., as directed **Committee Duties:** Serve on various committees of the facility as appointed by the Administrator; facilitate and provide schedule, record minutes, file and follow-up on ad hoc projects as directed **Personnel Duties:** Organize, evaluate and monitor activity department operations and assigned personnel in accordance with established facility policies and procedures; schedule service calls for repairs as appropriate **Staff Development Duties:** Assist department directors in the planning, conducting and scheduling of in-service training classes, on-the-job training and orientation programs to ensure that current material and programs are continuously provided - Attend and participate in mandatory facility in-service training programs as scheduled (e.g., Occupational Safety and Health Administration (OSHA), tuberculosis (TB), Health Insurance Portability and Accountability Act (HIPAA), abuse prevention, etc.) - Ensure required facility postings are accurate and comply with current regulations including minimum wage, workers’ compensation, compliance, OSHA form 300, etc. **Safety and Sanitation Duties:**Assist in obtaining safety data sheets (SDSs) from vendors; file SDSs in accordance with the facility’s hazard communication policies - Maintain and file accident/incident reports; trend as appropriate in collaboration with the Risk Manager - Maintain and file OSHA recordkeeping reports (e.g., OSHA forms 300, 301, etc.)

Pay: $20.00 - $22.00 per hour
