Description POSITION SUMMARY: Under the general supervision from the Chair of the Filmmaking Department. The Department Coordinator will organize and maintain the operational functions of all aspects of the Department, and will serve as a resource for students, faculty and staff in the department’s overall function.
Representative ResponsibilitiesThe following responsibilities are general duties that a particular employee in this position may or may not be required to perform. The day-to-day duties required of this position may Vary.
  • Serve as a consistent on-campus, front-facing presence all weekdays, facilitating live and digital communication with department students, helping troubleshoot their production and administrative needs, directing them to NYFA support and services as needed, and generally maximizing the quality of the student experience. Hours are generally M-F 8:45 a.m. to 5:45 p.m. but may be adjusted from time to time.
  • Monitor classroom and class readiness, troubleshoot any issues in collaboration with instructors and facilities.
  • Coordinate department productions: Certificates of insurance, permits, vans, equipment, guidelines/proofing Production Workshop reimbursements, create and maintain production approvals tracker, etc.
  • Respond to live and digital communication with department instructors, communicating policy and procedures and helping troubleshoot their class and administrative needs, sharing policies and procedures, directing them to appropriate offices as needed, and generally maximizing the quality of the faculty experience.
  • Act as primary point of contact for Department Chairs, Instructors and Students on a range of scheduling needs related to academic course offerings and course-related events; keeping up-to-date with all changes in class schedules; and sending out frequent updates and communications.
  • Organize, attend and memorialize faculty meetings and/or departmental/campus meetings, as requested by the Department Chairs.
  • Create and maintain Operations Handbooks, step by step instructions and links for all coordinator, department and student functions. Create and maintain necessary means of disseminating information.
  • Interpret, communicate and administer NYFA College policies and procedures.
  • Establish and maintain relationships with Department Chairs to understand and clarify departmental expectations. Maintain current knowledge of all the degree and certificate programs.
  • Work closely with the Academic Offices and Student Services to connect students to support (e.g., tutoring, advising, etc.)
  • Work closely with the scheduling department, facilities team, edit lab, equipment room, etc. to arrange and maintain smooth running of curriculum delivery.
  • Coordinate all graduations, orientations and major screenings and participate in committees as requested.
  • Coordinate with Instructors, including communicating policies, procedures and resolving conflicts in scheduling and any needs for substitution.
  • Respond to all Academy administrative departments regarding student scheduling inquiries, etc., including the bursar, registrar and international offices and the equipment room.
  • Analyze upcoming department needs with Chairs, Director of Scheduling, Faculty, and Administration.
  • Liaise between students, faculty, operations, advising and administration, to facilitate student needs, reporting progress, issues and concerns to Department Chairs.
  • Other duties as assigned.

  • Experience of a NYFA Filmmaking program preferred
  • Bachelor’s Degree preferred
  • Experience working in a post-secondary academic setting preferred
  • Proficiency with Microsoft Suite (Excel and Word) and Google Workspace
  • Minimum commitment of 2 years
