The Director of the Administrative Services Division is responsible for planning, directing and coordinating Facilities Services, Document Management (physical and electronic), Print & Mail Services and other office support services for the New York Liquidation Bureau (“Bureau”). The position requires close supervision and coordination of Administrative Services team, and an in-office presence is generally required.
Responsibilities
• Manage all aspects of office facilities, including health and safety, cleaning, upkeep, repairs, vendor installations and service.
• Participate in intakes of new insurance receiverships, including travel, and assessment of physical and operational needs of the receivership.
• Coordinate with building property management on all tenant issues.
• Manage and service office equipment.
• Perform routine inspections of office facilities and equipment.
• Oversee NYLB’s document management program (ImageRight), including scanning, distribution, filing, storage, retrieval and destruction of documents.
• Train staff on building procedures, health and safety requirements, and document management system.
• Develop internal policies, procedures and controls for Administrative Services Division.
• Manage Administrative Services staff and perform annual performance appraisals.
• Prepare divisional budgets.
• Serve on Bureau committees as appointed by the Special Deputy.
• Perform duties prescribed in the Administrative Services portion of the Rehabilitation/Liquidation Guidelines and Continuity of Operations Plan.
• Perform additional related tasks and duties as requested by NYLB Executive Staff and Division Directors.
Qualifications
• Experience with property management and building renovation, including relevant degrees or certificates.
• Related industry experience for a combined experience of 15 years at least 7 of which were in supervisory/management positions.
• Proven experience as an administrator of a document management system, preferably more than 5 years.
• Strong written and oral communication skills.
• Self-motivated, team-oriented individual with proven leadership skills.
• Ability to support employees across divisional reporting lines.
• Basic understanding of insurance industry and documents used by insurance companies.
• Proficiency using Microsoft Office (e.g., Microsoft Word, Excel, PowerPoint)
