Newton-Wellesley Neurology Associates is Hiring an Office Coordinator - Medical Specialist Office Near Newton, MA

PURPOSE:

The Office Coordinator will work with and manage a team of support staff in the role of medical administrative secretary in collaboration with the Practice Manager to include the following:

Coordinating support staff for this 8-practioner private practice specialty office in their role of serving both patients and office team by greeting and assisting; triaging phone calls; scheduling appointments and medical tests; obtaining preauthorization’s; maintaining records and accounts; verifying insurance eligibility; checking benefits; documenting referrals and other duties as requested.

QUALIFICATIONS

  • At least 2 years experience in a Medical Office (MGB experience a plus)
  • STRONG MANAGEMENT/COORDINATION ABILITY
  • STRONG ANALYTICAL/CRITICAL THINKING
  • Organizational and Time Management Skills
  • PROFESSIONALISM, FLEXIBILTY, Attention to Detail, a Focus on Quality
  • Post high-school education
  • MUST BE ABLE TO WORK IN A FAST-PACED/MULTI-TASKING/TEAM-BASED ENVIRONMENT

SKILLS

  • Possess both an individual and team-based work style, with a positive attitude
  • Excellent Telephone, Written and Inter-personal Communication skills
  • An understanding of Insurance plans and CPT & ICD-9/10 codes is preferred
  • Familiarity with web-based insurance navigation and overall internet and computer skills
  • MassGeneral Brigham Experience, EPIC, CareTracker and Microsoft Office experience a plus

DUTIES:

  • Oversee and Assist the Medical Administrative Support Staff in their daily tasks to include the following
  • Maintain patient accounts by obtaining, recording, and updating personal information.
  • Obtain revenue by recording and updating financial information; recording and collecting patient charges
  • Obtain and Document Testing Prior-Authorizations
  • Obtain and Document Medication Prior-Authorizations
  • Interact with patients to problem solve
  • Coordinate and Batch Encounter Forms for office visits and out-patient hospital procedures
  • Print Encounter Forms
  • Verify Insurance Eligibility and Benefits
  • Obtain and Document Referral Authorizations
  • Track Outstanding Referrals Prior to Patient’s Appointment
  • Welcome patients and visitors by greeting them in person or on the telephone; answers questions; refer inquiries appropriately
  • Optimize patient satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone
  • Keep patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays
  • Ensure availability of treatment information by retrieving and filing patient records
  • Maintain operations by following policies and procedures; reporting needed changes
  • Contribute to team effort by accomplishing related tasks as needed
  • All other duties as directed by the Practice Manager
