nextSource TalentCalling is Hiring a HR- Administrative Assistant Near Washington, DC

nextSource is looking for an Administrative Assistant. The HR Administrator Assistant provides day-to-day support for the staff of the Human Resources Department. In the position, the incumbent schedules for and provides front desk coverage for the office.

Responsibilities

Position specific responsibilities will include, but are not limited to:

  • Provides office management support for the HR and Payroll staff, and provides administrative support to the Executive Director and Director Team of the HR Department.
  • The front desk team provides the first line of customer service to approximately 50% of the department customer contacts.
  • Manage the front desk email, voicemail, and verification of employment contact.
  • Provide support to HR, and Payroll Staff- Ensure sufficient supplies of printed HR communications including the Information Guide, policy materials, and forms.
  • Provide back-up support to the Records Specialist, such as employee file maintenance.
  • Maintain HR Central files and HR office records
  • Manages supervisor’s and or department calendars.
  • Manages complex scheduling arrangements sometimes involving multiple parties.
  • Creates and maintains complex spreadsheets or databases based on supervisor’s objectives.
  • Oversees department/office supplies.
  • Sets-up and cancels meetings based on knowledge of subject and attendees. Ensuring that all logistics are supported such as technology, catering, venue confirmation.
  • Prepares required materials for meetings, webinars, and special events (e.g. PowerPoint presentations, handouts).
  • Performs data entry; information management and extraction; database creation and maintenance; report generation and distribution utilizing; data information analysis.
  • Supports special projects and assignments as delegated by the manager.
  • Experience with I-9 and willing to become I-9 certified

Qualifications:

  • Bachelor's Degree preferred
  • 2-3 years of customer service and administrative experience
  • Excellent communication skills are essential
  • Supervisory or Human Resources Experience Preferred
  • Experience working in an academic field preferred.
  • Experience with Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint.

Pay Range: $22-$24/hr

Contract Duration: 2-3Months- potential to be hired on full time.
